Key takeaways
- ServiceTitan has no total-size screen, so you export a job or invoice report and the customer list from Search to XLSX and add up the rows.
- Reports need reporting permissions, and search exports need the Allow exporting search results permission, which an administrator turns on for each employee under Settings > People > Employees.
- A developer gets the complete history by creating an app at developer.servicetitan.io, connecting it under Settings > Integrations > API Application Access, and calling the Export APIs until hasMore is false.
- You don't need to export anything to apply: have your record count, years of history and logins ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is ServiceTitan data, and why do AI labs and data vendors buy it?
The short answer
ServiceTitan data is the record of a home-service company's day-to-day work in ServiceTitan, the software that contractors such as HVAC (heating and air conditioning), plumbing and electrical companies use to take calls, book and dispatch jobs, invoice customers and collect payment. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because ServiceTitan connects the customer's call, the booked job, the work the technician did, the invoice and the payment into a single sequence.
What a ServiceTitan account records
A home-service company sends technicians to customers' houses and businesses, and ServiceTitan tracks each visit from start to finish. It stores the customer and the location, the call that started the request, the job that was booked and the technician who went, the invoice and the payment. It also keeps estimates, memberships (service plans customers pay for) and photos, videos and file attachments on customer, location, job and project records.
Why a repair job teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A ServiceTitan job is useful because the sequence ends in a price, so a model can match each diagnosis to the repair that followed and the amount the customer paid.
Many years of jobs, done by many technicians, show how one equipment problem gets handled in different houses, in different seasons and at different prices. Photos and notes on a job add the evidence from the field behind its result.
AI labs now also want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. The full mechanism is in AI training data: why AI companies want your company's data.
How ServiceTitan fits into a dataset
ServiceTitan is usually one of several apps in a company's dataset, next to email, accounting and customer records. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does ServiceTitan show how much data you have?
The short answer
ServiceTitan has no single screen that shows the total size of your data. You count records by running a job or invoice report under Reports and exporting it to XLSX, then exporting the customer list from Search, and adding up the rows. This needs reporting permissions, and the customer and job search exports also need the Allow exporting search results permission.
How to count jobs, invoices and customers
The steps below build a record count from reports and search results, as ServiceTitan explains in its guide to running and exporting reports.
- Log in as a user who holds reporting permissions. When reports will not open, your ServiceTitan account administrator can grant them.
- Open Reports in the navigation bar and pick a job report or an invoice report from the All Reports screen.
- Set the date fields to span the whole time the company has used ServiceTitan, then press Run Report.
- Above the results, click Export, select Export to XLSX and confirm with Export. The file's row count is that report's record count.
- For customers, use Search in the top toolbar and select Customers without any filters. Click the Expand icon, pick Export to Excel (*.xlsx) and count the rows in the file.
- Add the job, invoice and customer row counts together for your total.
What permissions the counting needs
Two separate permissions control what you can see and export. Reports depend on reporting permissions, which the account administrator grants. Exporting search results depends on a per-employee setting, so a user may be able to run a report and still find no export option on a search.
| What you count | Where | Permission |
|---|---|---|
| Jobs and invoices | Reports > All Reports | Reporting permissions |
| Customers and job lists | Search, then Export to Excel | Allow exporting search results |
How to turn on the search export
An administrator or manager opens Settings > People > Employees, edits the employee, opens the Permissions tab, switches on Allow exporting search results and saves, as ServiceTitan's guide to exporting job lists shows. Without this setting, the export option does not appear.
03
What should you know about your ServiceTitan data before you apply?
The short answer
Have three facts ready: how many records your account holds, how many years it covers and how many people have their own logins. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.
The record count
The total is the sum of the job, invoice and customer rows from the last section. If you also count estimates, calls or memberships, add those and say which record types you included, so the data vendor knows what the number covers.
The years of history
Find the oldest job or invoice date in the widest report you ran. The date the company went live on ServiceTitan is usually close to it, and your ServiceTitan account manager can confirm that date.
The number of logins
Count the employees and technicians who have their own ServiceTitan logins. That includes office staff and the field technicians who use the mobile app.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub records. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your full ServiceTitan history?
The short answer
ServiceTitan has two routes. You can export each core report and the customer list to XLSX, or a developer can pull the complete history through ServiceTitan's Export APIs after creating an app at developer.servicetitan.io. Photos, videos and attachments are the gap, because ServiceTitan's help center describes no bulk download for them.
Route one: report and search exports
This route needs only the permissions described above, and it produces spreadsheets you can open in Excel. It works well for a first look and for smaller companies.
- Export each core report to XLSX with the date range covering every year: jobs, invoices and any estimate or membership reports you rely on.
- Export every customer from Search > Customers by leaving the filters empty and choosing Export to Excel (*.xlsx).
- Check the date fields before each export. A report holds only the columns and the date range you ran, and reports come out as XLSX or PDF.
Route two: the Export APIs, for the complete history
An API (application programming interface) is a way for one program to ask another for data directly. ServiceTitan's Export APIs are built to deliver full snapshots and ongoing updates in machine-readable form, and a developer sets them up in four steps.
- A developer creates an app at developer.servicetitan.io, entering the company's tenant ID (the number that identifies its ServiceTitan account).
- In ServiceTitan, an administrator opens Settings > Integrations > API Application Access and chooses Connect New App. The people doing this need two permissions, Generate API Application Key and Manage API Application Access.
- The developer calls the Export APIs, the endpoints with
/exportin the path, without a starting token. They begin at the first record and return acontinueFromtoken for the next batch. - The developer repeats the call with each new token until the response sets
hasMoreto false, which means the full history has been pulled.
ServiceTitan's pages on getting started with the developer portal and on its Transactional and Export APIs describe both steps. A new or edited record shows up in the feed roughly 15 minutes later, unless the includeRecentChanges parameter is switched on.
What ServiceTitan's help pages do not cover
Photos, videos and attached files belong to customer, location, job and project records. Anyone can open a single file from its record and save it, yet the help center documents no way to download them in bulk from the office app. Ask your ServiceTitan account manager how to pull them for your account.

05
What stays private when ServiceTitan data is licensed?
The short answer
The company chooses which record types leave ServiceTitan, and card numbers, bank details and payroll figures are not needed. The data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its ServiceTitan data, and the license covers defined records for a defined use.
You choose what is in scope
A company can share its jobs and invoices and keep other record types back. Payment details and payroll are not part of what a data vendor is looking for. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person or a place, such as a name, a phone number or an address, with a stand-in that is the same every time it appears. The job still reads in order, so a lab can learn from it, but it no longer says who the customer is or where they live. The diagram below shows one job before and after.
The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
Why is Export to Excel missing from our ServiceTitan job search?
That option appears only for employees who have the Allow exporting search results permission. An administrator switches it on in Settings > People > Employees, on the employee's Permissions tab.
Which ServiceTitan package do we need to export reports?
Your permissions and your package decide what report exports are available. ServiceTitan's packages are Starter, Essentials and The Works, with advanced reporting listed under The Works, so ask your account manager if Reports looks restricted.
Do we need a software partner to pull the full ServiceTitan history by API?
No. Someone at your company can register an app in the developer portal and connect it under API Application Access. Calling the Export APIs with no token then returns records from the very first one.
How do we export job photos and attachments from ServiceTitan?
You can open each file on its own record and download it there. ServiceTitan's help center describes no bulk option, so ask your account manager what your account allows.
Do we need to export ServiceTitan before we apply?
No. The application takes about two minutes and shares no data. You only need your approximate record count, your years of history and your number of logins for the intro call, and a few report exports give you the first. The full export is needed later, when the records are transferred after you sign the license.
Do card numbers and payroll have to be in what we license?
No. Card numbers, bank details and payroll figures are not needed, and the company chooses which record types leave ServiceTitan.
What is ServiceTitan data worth to AI labs and data vendors?
ServiceTitan history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job from the first call to the payment. What your data is worth explains the factors.
Bottom line
Know what is in ServiceTitan, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
