How to find and export your Housecall Pro data for AI training

Housecall Pro has no screen that shows how much data you have, so an Admin counts records by exporting the Jobs, Estimates and Customers lists, which Housecall Pro emails as CSV files, and only Admin users can export the Customers and Jobs lists. Photos and documents download from the Attachments card on each job or estimate, and the public API that lets a developer pull complete records is limited to the MAX plan. Below, you'll find what Housecall Pro data is and why AI labs and data vendors buy it, how to count your records, what to know before you apply, every export route, and what stays private.

Key takeaways

  • Housecall Pro has no total-size screen, so an Admin exports the Jobs, Estimates and Customers lists with Actions > Export > Send file and adds up the rows in the emailed CSV files.
  • Only Admin users can export the Customers and Jobs lists, and the file goes to the email address of the person who clicked Send file.
  • Photos and documents are not in the CSV files; they download from the Attachments card one job or estimate at a time, and the API for developers is available only on the MAX plan.
  • You don't need to export anything to apply: have your record count, years of history and number of seats ready, and the data vendor anonymizes the records before any AI lab sees them.

01

What is Housecall Pro data, and why do AI labs and data vendors buy it?

The short answer

Housecall Pro data is the record of a home-service company's work in Housecall Pro, the software that small trade businesses such as plumbers, electricians, HVAC (heating and air conditioning) companies and cleaners use to send estimates, schedule and dispatch jobs, invoice customers and collect payment. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because the estimates, jobs and invoices show how a small trade business wins work and gets it done.

What a Housecall Pro account records

A home-service company sends technicians to customers' homes, and Housecall Pro keeps a record of each visit. A job records its type, the employees assigned, the dates it was scheduled, started and completed, the labor hours, and what it earned. An estimate is the price quote that comes before a job, and Housecall Pro marks each one as won, lost or still open.

Customer records, tags, lead sources (where each customer first heard of the company), notes, and attached photos and documents sit alongside the jobs.

Why quotes and jobs teach an AI model something

An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. An estimate marked won or lost shows which offers customers accepted, and the job that follows shows what the work really cost and earned. Together they teach a model how a trade business prices a repair, who accepts the price and what the job looks like once it is done.

AI labs now also want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. Years of estimates, jobs, attachments and customer history show an agent how small trade businesses quote, schedule and close work. The full mechanism is in AI training data: why AI companies want your company's data.

How Housecall Pro fits into a dataset

Housecall Pro is usually one of several apps in a company's dataset, next to email, accounting and customer records. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.

02

Where does Housecall Pro show how much data you have?

The short answer

Housecall Pro has no screen that shows the total size of your data. You count records by exporting the Jobs, Estimates and Customers lists as CSV files and adding up their rows. Only Admin users can export the Customers and Jobs lists, and each file arrives by email.

How to count jobs, estimates and customers

The steps below build a record count from the three lists, as Housecall Pro describes in its guide to exporting jobs and customers.

  1. Sign in as an Admin user, because Housecall Pro keeps the Customers and Jobs exports for Admins.
  2. Click Jobs in the left-hand menu and remove every filter, so the list holds all the jobs ever created in the account.
  3. Choose Actions > Export, check the email address shown and press Send file. Housecall Pro then emails a CSV (comma-separated values, a plain spreadsheet file) from notifications@housecallpro.com.
  4. Repeat the export from Estimates and from Customers.
  5. Open each file in a spreadsheet, count its rows, subtract one for the header row, and add the three results together.

Who can run the exports, and on which plan

The role matters more than the plan for the list exports. Housecall Pro's help pages do not tie them to a subscription plan, but they do restrict the Customers and Jobs exports to Admins, so a user with a lower role will see no Export choice under Actions.

Who can use each Housecall Pro route to your records
RouteWhereWho can use it
Jobs and Customers listsLeft navigation > Actions > ExportAdmin users
Estimates listEstimates > Actions > ExportAdmin users in practice; the help page for this list does not restate the role
Public APIMy Apps > All Apps > API Key ManagementAdmin users, on the MAX plan only

Why the row count is a safe total

The Jobs list shows every job created in the account, as Housecall Pro's list reporting page explains, so an export with no filters counts them all. A filter left on from an earlier session is the common mistake, because the CSV holds only the rows the list was showing when you pressed Send file. The columns you pick under Edit columns change what each row contains but not how many rows there are.

03

What should you know about your Housecall Pro data before you apply?

The short answer

Have three facts ready: how many records your account holds, how many years it covers and how many people log in. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.

The record count

The record count is the combined rows of the jobs, estimates and customers files. If you left one of those lists out, say so, so the data vendor knows which record types the number covers.

The years of history

Sort the jobs file by its created or scheduled date and read the oldest entry. That date is usually close to the day the company began using Housecall Pro.

The number of seats

A seat is one person with their own login. Count the employees who sign in to the account, which includes office staff and the field technicians who use the mobile app.

What you don't need to do first

You don't need to export anything to apply, and you don't need to clean or scrub records. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.

04

How do you export your full Housecall Pro history?

The short answer

An Admin exports the Jobs, Estimates and Customers lists one at a time with Actions > Export > Send file, and Housecall Pro emails each one as a CSV. Photos and documents come from the Attachments card, one job or estimate at a time. On the MAX plan, an Admin can also create an API key so a developer can pull complete records.

The steps, in order

  1. Export the Jobs list as an Admin with no filters applied: Actions > Export > Send file. Open Edit columns first if you want extra fields such as financials or time tracking in the file.
  2. Export the Estimates list and the Customers list the same way.
  3. Download the photos and documents job by job, as described below.
  4. On the MAX plan, have an Admin create a key for a developer, as described below, if you want full records in a machine-readable form.

Who can export, and where the file goes

Only Admin users can export the Customers and Jobs lists. The file is emailed to the address on the login of the person who clicked Send file, so ask the person who will receive it to run the export. If nothing arrives within an hour, check the spam folder and then contact Housecall Pro support through the blue chat bubble in the account.

How to download photos and documents

Housecall Pro keeps files on the job or estimate they belong to, and a download works on one record at a time, as the attachments help page describes.

  1. Open a job or an estimate and scroll to the Attachments card.
  2. Tick the checkbox beside each file you want.
  3. Click the Download icon.

An invoice can be printed or downloaded from its job as a PDF, one invoice at a time. The help center describes no bulk download of every photo or invoice in the account.

How to give a developer API access on the MAX plan

An API (application programming interface) is a way for one program to ask another for data directly. Housecall Pro's API overview says the public API is available only on the MAX plan, and only Admin users can generate or delete keys.

  1. An Admin signs in and goes to My Apps > All Apps, then finds and opens API Key Management.
  2. The Admin clicks Generate API Key, names the key and picks Read-only as its permission, because Full access is also offered.
  3. The Admin clicks Generate key, copies the key and sends it to the developer.
  4. The developer reads the endpoints in Housecall Pro's public API documentation and pulls the full records.

A key can reach all of the data in the account, so hand it only to a developer you trust and choose Read-only. Deleting a key stops any integration that uses it.

LIST EXPORTS The same account, exported Jobs listOne CSV Estimates listOne CSV Customers listOne CSV Photos and documentsNot in files Fields and rows only; no files. ATTACHMENTS CARD The same account, downloaded Record fieldsNot included Photos on one jobIncluded Documents on one jobIncluded Every job at onceNot available Download one job or estimate at a time.
The same Housecall Pro account, exported two ways. List exports give the fields of every record as CSV files, the Attachments card gives the files of one record at a time, and neither alone is the whole account.

What the exports leave out

Because the list exports are spreadsheets of fields, they carry no photos or documents. The jobs file holds the columns you selected under Edit columns, which can cover customer details, scheduling, time tracking, financials and costs. Attachments have to be downloaded separately for each job or estimate.

05

What stays private when Housecall Pro data is licensed?

The short answer

The company decides which lists and attachments are shared, and customers' payment card details are not needed. The data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its Housecall Pro data, and the license covers defined records for a defined use.

You choose what is in scope

A company can share its jobs and estimates and hold back its customer list or its attachments. Customers' payment card details are not part of what a data vendor is looking for. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.

Names are replaced before a lab sees them

Anonymization means replacing every detail that identifies a person or a place, such as a name, a phone number or an address, with a stand-in that is the same every time it appears. The job still reads in order, so a lab can learn from it, but it no longer says who the customer is or where they live. The diagram below shows one job before and after.

IN THE HOUSECALL PRO RECORD Estimate 2210, won Estimate: Dana Brooks, 555-0142.Water heater leaking at 14 Elm Street. Won at $1,180. Mike Alvarezinstalled the new heater in 3 hours. Invoice: $1,180, paid by Dana Brooks Real names, a phone and an address. WHAT AN AI LAB RECEIVES Estimate 2210, won Estimate: Customer 203, Phone 31.Water heater leaking at Address 88. Won at $1,180. Technician 22installed the new heater in 3 hours. Invoice: $1,180, paid by Customer 203 Same job; the chain still reads.
The same estimate and job in both panels. The customer, the phone number, the address and the technician are replaced with stand-ins, while the problem, the price and the outcome stay in order.

The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.

Ownership and payment

Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.

Questions

Frequently asked questions

Why don't I see Export under Actions in Housecall Pro?

Only employees whose role is Admin can export the Customers and Jobs lists, so the option is missing for everyone else. Ask the account owner to change your role or to run the export for you.

Does the Housecall Pro export include photos?

No. The list exports hold fields only. Photos and documents come from the Attachments card on each job or estimate.

Which Housecall Pro plan includes API access?

The MAX plan. Housecall Pro says its public API is available only to Pros on MAX, and an Admin creates the key in the API Key Management app, which is listed under My Apps > All Apps.

How long does a Housecall Pro export take?

Housecall Pro emails the file shortly after you click Send file. If it has not arrived within an hour, check the spam folder and then message support through the blue chat bubble in your account.

Should we give a developer a Read-only or Full access API key?

Read-only. A key can reach all of the data in the account, and Housecall Pro offers both Full access and Read-only when the Admin creates it. A copy of the records needs no ability to change them.

Do we need to export Housecall Pro before we apply?

No. The application takes about two minutes and shares no data. You only need your approximate record count, your years of history and your number of seats for the intro call, and a few list exports give you the first. The full export is needed later, when the records are transferred after you sign the license.

Do customers' card numbers have to be in what we license?

No. Customers' payment card details are not needed, and the company chooses which lists and attachments are shared.

What is Housecall Pro data worth to AI labs and data vendors?

Housecall Pro history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job from the estimate to the payment. What your data is worth explains the factors.

Bottom line

Know what is in Housecall Pro, then see what it is worth

You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
