How to find and export your NetSuite data for AI training

NetSuite has no single total for record data: you count transactions by running a saved search from Lists > Search > Saved Searches > New, you read file storage in GB at Setup > Company > View Billing Information, and an Administrator exports from Setup > Import/Export > Export Tasks > Full CSV Export. Oracle says that export does not cover all data, so a complete transaction history comes from saved searches for each record type or from SuiteAnalytics Connect. Below, you'll find what NetSuite data is and why AI labs and data vendors buy it, where to read your numbers, what to know before you apply, every export route, and what stays private.

Key takeaways

  • NetSuite shows no single record total: run a saved search over transactions, set it to one row per transaction, and count the rows as records.
  • Only an Administrator can run Full CSV Export from Setup > Import/Export > Export Tasks, and Oracle says it does not export all data and may time out.
  • A complete transaction history comes from saved searches for each record type or from SuiteAnalytics Connect, which has to be provisioned for your account.
  • You don't need to export anything to apply: have your transaction count, years of history, user count and file storage ready, and the data vendor anonymizes the records before any AI lab sees them.

01

What is NetSuite data, and why do AI labs and data vendors buy it?

The short answer

NetSuite data is the financial and operating record of a company that runs on NetSuite, Oracle's business management software: its customers, vendors, items, orders, invoices, bills, payments and the custom records the company added. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because one NetSuite account links each sale or purchase to every step that followed it, with dates and approvals attached.

What a NetSuite account records

NetSuite is an ERP (enterprise resource planning) system, a single piece of software that handles a company's accounting, orders, inventory, purchasing and billing together. Where a smaller business might keep its books in one app and its orders in another, a NetSuite account holds them in one place.

The account stores lists of customers, vendors, employees and items, and it stores transactions: sales orders, invoices, payments, purchase orders, vendor bills and journal entries. Companies with several subsidiaries also record the entries between those subsidiaries, in several currencies. Many companies add custom records and fields as well, which show how that business bent the software around its own way of working.

Why linked transactions teach an AI model something

An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A NetSuite account supplies examples of whole business cycles. In the order-to-cash cycle, a customer places a sales order, the company ships it, sends an invoice and receives the payment. In the procure-to-pay cycle, the company raises a purchase order, receives the goods, gets a vendor bill and pays it.

Each of those cycles sits in the account as a chain of linked records, so a model can see what happened first, what followed and how long each step took. AI labs now want to train AI agents, software that carries out a job step by step, and an agent that is meant to process invoices or chase late payments learns best from records of those jobs done correctly. A data vendor can turn anonymized chains into worked examples that an agent studies like an answer key, or build a practice copy of the workflow in which the agent is scored on each attempt. The full mechanism is in AI training data: why AI companies want your company's data.

How NetSuite fits into a dataset

NetSuite is usually one app among several in a company's dataset, alongside email, documents and support tickets. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.

02

Where does NetSuite show how much data you have?

The short answer

NetSuite has no single total for record data. You count transactions by running a saved search from Lists > Search > Saved Searches > New and counting the rows, and you read file storage in gigabytes (GB) at Setup > Company > View Billing Information. Run both as an Administrator, because a search only returns the records its role is allowed to see.

How to count your records

A saved search is a stored query that lists records matching conditions you set, and it is how NetSuite users count and pull records. The steps below produce a transaction count and a storage figure.

  1. Sign in with the Administrator role.
  2. Open Lists > Search > Saved Searches > New and pick a transaction type as the record to search.
  3. Leave the criteria open, or filter on the date created, and select Save & Run.
  4. When the results appear, select Export - CSV and count the rows in the downloaded file. Run the same kind of search on customers, vendors and items if you also want those totals.
  5. To size the stored documents, open Setup > Company > View Billing Information and look at the Current Used Quantity beside File Cabinet Size (GB). Oracle's file cabinet page notes that this screen needs the Billing Information permission.

The file cabinet is NetSuite's built-in storage for documents, such as scanned receipts and contracts. Its size is a separate number from the record count, and the transaction count says nothing about it.

What plan and role you need

Every NetSuite service tier can run saved searches, so the plan does not limit the count. The role does, because the records a search returns depend on the permissions of the role that runs it.

What you need to read each NetSuite figure
FigureWhere it livesWho should read it
Transaction countSaved search results, counted as rowsAdministrator role, so no records are hidden by permissions
File storage in GBSetup > Company > View Billing InformationA role with the Billing Information permission
UsersYour count of named users with a loginAny Administrator

Why the row count can be wrong

A saved search over transactions can return one row per transaction or one row per line inside each transaction. An invoice with five line items then counts five times, which can make the total several times too high. Set the search so that it returns one row per transaction before you count.

03

What should you know about your NetSuite data before you apply?

The short answer

Have four facts ready: your transaction count, the years of history, the number of users and the file storage in GB. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them, and applying through micro1 shares no data.

The record count

The unit for NetSuite is records, and the number is the row count from your saved search with one row per transaction. If you also counted customers, vendors and items, keep those figures separate so the buyer can see the transactions alone.

The years of history

Sort the saved search by date and take the oldest transaction. A company that moved to NetSuite from other software may have earlier years that exist only as imported opening balances, which are single entries summarizing what was owed at the start, so say when the detailed history begins.

The number of users

Count the named NetSuite users who have a login. Oracle's service tier page caps users by tier, from up to 100 on Standard to up to 1,000 on Premium, 2,000 on Enterprise and 4,000 on Ultimate, which gives you a quick check on your own figure.

What you don't need to do first

You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.

04

How do you export your full NetSuite history?

The short answer

An Administrator runs Full CSV Export from Setup > Import/Export > Export Tasks > Full CSV Export, then saves the download as a ZIP file with one CSV file per list or report. Oracle says this export does not cover all data, so a complete transaction history comes from saved searches for each record type or from SuiteAnalytics Connect.

Who can start an export

Only users with the Administrator role can run Full CSV Export. Sign in with that role before you begin.

The Full CSV Export steps

  1. Sign in with the Administrator role.
  2. Go to Setup > Import/Export > Export Tasks > Full CSV Export and select Submit.
  3. Wait for the progress bar to finish. NetSuite then opens a File Download window, and you save the result under a name ending in .zip. Inside is a separate CSV file for each list or report.
  4. When the export stalls and times out, pull the data in smaller pieces: visit each list or report page and choose Export - CSV there.
  5. For the complete transaction history, export a saved search for each record type, or query the data through SuiteAnalytics Connect.

What Full CSV Export includes and leaves out

Oracle's page says plainly that Full CSV Export does not currently export all data, and it names what it does carry. That covers the accounting lists, classes, contacts, customers, departments, employees, expense categories and items. It also covers memorized transactions (saved templates for repeat entries), notes, other names, partners, ship items, solutions, tasks, topics and vendors, plus the saved reports you own and the Transaction Detail report. The customer and item files follow whichever view is selected on each list.

Because the export runs your saved searches, a broken one can make the entire export fail. Documents in the file cabinet are not among the items Oracle lists.

What SuiteAnalytics Connect adds

SuiteAnalytics Connect is NetSuite's service for reading account data from outside the system, through ODBC, JDBC or ADO.NET drivers (standard connectors that let analysis tools query a database). Oracle's Connect service page says it has to be provisioned for your account, and an Account Administrator must enable the account and the role for it.

Once it is provisioned, switch it on under Setup > Company > Enable Features on the Analytics tab by checking SuiteAnalytics Connect. If the option isn't there, contact NetSuite Customer Support or your account manager. Every connection needs the NetSuite account ID and role ID, and what you can read depends on that role.

Formats, storage limits and open-in-Excel cautions

Full CSV Export produces CSV files inside a ZIP file. Excel shows numbers longer than 16 digits in scientific notation and can lose precision, so Oracle suggests opening the CSV files through Excel's text import with the columns set as text, or using a tool such as LibreOffice.

Each service tier also limits file storage: up to 100 GB on Standard, 1,000 GB on Premium, 2,000 GB on Enterprise and 4,000 GB on Ultimate. Oracle's service tier page gives an account that exceeds the file cabinet limit 90 days of grace.

What to settle before employee and customer records leave the account

Oracle names no legal prerequisite for these exports. The lists above do include employees, contacts and customers, though, which are personal data, and that makes the scope a question for the company's lawyer. Is it legal to sell company data covers it.

How long an export takes

Oracle gives no time estimate. NetSuite shows a progress bar while Full CSV Export runs, and a large account may time out, in which case you fall back to exporting each list or report on its own page.

05

What stays private when NetSuite data is licensed?

The short answer

The company decides which record types and saved searches leave NetSuite, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its NetSuite records, and the license covers defined records for a defined use.

You choose what is in scope

Because you pick the saved searches and record types to export, you can leave out employee records and anything else you would rather keep inside NetSuite. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.

Names are replaced before a lab sees them

Anonymization means replacing every detail that identifies a person or a company, such as a name or an email address, with a stand-in that is the same every time it appears. The chain of records still reads in order, so a lab can learn from it, but it no longer says who the people and companies are. The diagram below shows one sale before and after.

IN THE NETSUITE RECORDS One sale, from order to payment Sales order for Acme Corp, entered by Sarah Chen Invoice emailed todana@acme.com, terms net 30 Approved by Mike Alvarez, paid 38 days after invoice Real names, a company and an email. WHAT AN AI LAB RECEIVES One sale, from order to payment Sales order for Client 7,entered by Employee 14 Invoice emailed toContact 203, terms net 30 Approved by Employee 22,paid 38 days after invoice Same sale; the sequence still reads.
The same three records in both panels. The company, the employees and the email address are replaced with stand-ins, and the order, the invoice terms and the payment timing stay intact.

The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.

Ownership and payment

Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.

Questions

Frequently asked questions

Does NetSuite's Full CSV Export include every transaction?

No. The ZIP holds a defined set of lists plus the Transaction Detail report, and Oracle states that the tool leaves some data out. A complete transaction history comes from a saved search for each record type, or from SuiteAnalytics Connect.

Who can run Full CSV Export in NetSuite?

Only users with the Administrator role. A user in any other role has to be given that role, or ask an Administrator to run the export.

What should we do if the NetSuite export times out?

Pull the data in smaller pieces from each list or report page with Export - CSV. It is also worth reviewing your saved searches, because the full export runs them and a single broken one can stop everything.

Is SuiteAnalytics Connect included in every NetSuite account?

No. It has to be provisioned for your account. If the SuiteAnalytics Connect option is missing from the Analytics tab under Setup > Company > Enable Features, contact NetSuite Customer Support or your account manager.

How do we find out how big our NetSuite file storage is?

Go to Setup > Company > View Billing Information and read Current Used Quantity on the File Cabinet Size (GB) line. That figure covers stored documents only, so it is separate from your record count.

Why does our NetSuite transaction count look too high?

The saved search is probably returning one row per transaction line instead of one row per transaction. An invoice with several line items is then counted several times, so set the search to return one row per transaction and count again.

Do we need to export NetSuite before we apply?

No. The application takes about two minutes and shares no data. You only need your approximate transaction count, your years of history and your user count for the intro call. The export is needed later, when the records are transferred after you sign the license.

What is NetSuite data worth to AI labs and data vendors?

NetSuite records are priced as part of a whole dataset rather than on their own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.

Bottom line

Know what is in NetSuite, then see what it is worth

You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.

Not legal, tax or financial advice. Figures come from micro1's published pages and public reporting as of November 2026.
