How to find and export your Sage Intacct data for AI training

Sage Intacct does not show a total data size, so you count your records by running transaction reports in the Reports center and counting the rows, and the full history is exported with Data Delivery Service at Company > Setup > Data Delivery Service, which writes one .csv file per object to cloud storage your administrator configures. What a user can run depends on that user's permissions, and Sage's overview lists no subscription requirement for the service. Below, you'll find what Sage Intacct data is and why AI labs and data vendors buy it, how to count it, what to know before you apply, how each export route works, and what stays private.

Key takeaways

  • Sage Intacct shows no data total, so run transaction reports from the Reports center, export them as CSV or Excel and add up the rows.
  • Data Delivery Service (Company > Setup > Data Delivery Service) is Sage's route for large exports: it writes one .csv file per selected object to a cloud storage service.
  • Sage's overview names no subscription or permission requirements for Data Delivery Service, so confirm them with your Sage Intacct partner or account manager.
  • You don't need to export anything to apply: have your transaction count, years of history and named user count ready, and the data vendor anonymizes the records before any AI lab sees them.

01

What is Sage Intacct data, and why do AI labs and data vendors buy it?

The short answer

Sage Intacct data is the accounting record of a company that keeps its books in Sage Intacct, a cloud accounting system: every ledger entry, bill, invoice and payment, each tagged with the location, department or project it belongs to. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because the tags show how a real organization's revenue and spending break down across its parts, year after year.

What a Sage Intacct company records

Sage Intacct is financial management software, the system a finance team uses to record money coming in and going out. It holds the general ledger, the master list of every accounting entry a company has made, along with the modules that feed it: accounts payable (bills the company owes), accounts receivable (invoices customers owe), cash management and, depending on the subscription, other applications.

What sets Sage Intacct apart is dimensions, labels such as location, department, project, customer, vendor and employee that can be attached to each entry. Companies with several legal entities, such as a parent and its subsidiaries, can also keep all of them in one Sage Intacct company, so a single account can show a whole group's finances.

Why tagged ledger entries teach an AI model something

An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A ledger with dimensions supplies examples of how a finance team classifies each transaction: which department a software subscription is charged to, which project a contractor invoice belongs to, and which location earned a sale.

AI labs now want to train AI agents, software that carries out a job step by step, and bookkeeping is a job made of such steps. An agent that is meant to code incoming bills or reconcile payments learns best from many records of that work done correctly. A data vendor can turn anonymized entries into worked examples that an agent studies like an answer key, or build a practice copy of the workflow in which the agent is scored on each attempt. AI training data: why AI companies want your company's data explains the mechanism in full.

How Sage Intacct fits into a dataset

Sage Intacct is usually one app among several in a company's dataset, alongside email, documents and customer records. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.

02

Where does Sage Intacct show how much data you have?

The short answer

Sage Intacct does not show a total data size. You run reports in the Reports center that list your main transactions across all dates, save each as CSV or Excel, and count the rows. Each user's permissions decide what they can run, so a company administrator may need to run the reports or widen your access.

How to count your records

Because no screen adds everything up, the count comes from reports that list one row per transaction. The steps below produce one number for each transaction type you want included.

  1. Open the Reports center (Reports > Reports center) and find a report that lists individual transactions, for example the general ledger entries report or an invoice report, then widen its date range to cover everything.
  2. Run the report, pick CSV or Excel in the output dropdown next to Print, and select Go. Sage then saves the report as a file.
  3. Open the file and count its rows.
  4. Repeat for each other transaction report you want counted, and add the row counts together.

Sage's export reports page adds one rule for custom reports (reports someone on your team built themselves): they must be memorized, meaning saved under a name, before they can be exported.

What plan and role you need

The research found no plan restriction on running reports; any Sage Intacct company can do it. The limit is the user. Sage's page lists the permissions to run and export a report as List, View and Run, and user types Business or Employee.

Why the row count can fall short of the all-time total

A report only lists what its filters and your permissions allow. If a report opens on the current period, or the user cannot see a department or entity, the rows left out never reach the count. If a report or object is missing for you, your company administrator can tell you whether permissions are the cause.

Summary reports also undercount. A report that groups entries into totals by account gives one row per account instead of one row per entry, so choose the report type that lists individual entries.

03

What should you know about your Sage Intacct data before you apply?

The short answer

Have three facts ready: the combined transaction row count, the years the company has used Sage Intacct and the number of named users. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them, and applying through micro1 shares no data.

The record count

The unit for Sage Intacct is records, and the number is the combined row count of the transaction reports you ran. If you counted several report types, add them together and keep the split in your notes so the buyer can see what the total is made of.

The years of history and the users

For years in use, find the oldest general ledger entry and read its date. For users, count the named Sage Intacct users on the company. A company that moved to Sage Intacct from other software may have earlier years held only as opening balances, so say when the detailed history begins.

What you don't need to do first

You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.

04

How do you export your full Sage Intacct history?

The short answer

Sage Intacct's route for large exports is Data Delivery Service, found at Company > Setup > Data Delivery Service. An administrator first sets up a cloud storage destination, then picks the objects to extract, and each object's records arrive in the storage as a .csv file. Sage does not offer a single backup file, and its overview names no subscription or permission requirements for the service.

What Data Delivery Service is

Data Delivery Service (DDS) is Sage's method for moving large volumes of data out of Sage Intacct. It does not download to your computer. It writes the records of each object (a type of record, such as general ledger entries or customers) to a .csv file and posts the file to a cloud storage service you have configured. Sage's export data overview describes it as the way to export a huge amount of data with ease.

The export steps

  1. An administrator sets up the cloud storage location that Data Delivery Service will deliver files to.
  2. Open Company > Setup > Data Delivery Service, tick the objects you want, and set each one to extract every record.
  3. Start the export. Every object's records arrive as a .csv file in that storage.

After the first full run, you can choose to extract only the records that changed since the last export. That option suits an ongoing feed, while a one-off export of the full history takes the all-records choice.

DATA DELIVERY SERVICE Company > Setup > Data Delivery Service Objects you selectGeneral ledger entries, customers, vendors One .csv file per objectAll records, or only changes since last run Cloud storage you configuredWhere the files are posted Nothing is downloaded to a laptop.
Data Delivery Service sends each Sage Intacct object to cloud storage as its own .csv file, so the full history is a folder of files rather than one backup.

Smaller exports from reports

Reports and lists can also be exported when you want a narrower pull, such as only the invoices from one year. Run the report, choose the output type in the dropdown beside Print, and select Go. A financial report that already exists is exported by picking its output type and then selecting Export.

Which Sage Intacct export route suits which job
RouteWhat it gives youGood to know
Data Delivery ServiceA .csv file per object in cloud storage.Needs a configured storage destination; can send only changes after the first run.
Report exportOne report as CSV, Excel, Word or text.Limited by the report's filters and your permissions.
Financial report exportOne financial report as HTML, CSV, PDF or Excel. Not every format is available for every report.

Formats, limits and what the export leaves out

DDS produces .csv files only. Reports offer more formats, but Sage notes that not all formats work for all reports, and that exporting a filtered report returns only the records the filter allows. Sage's pages give no row limit, no retention period and no time estimate for any of these exports.

Neither a subscription level nor a permission for Data Delivery Service appears in Sage's overview. Ask your Sage Intacct partner or account manager to confirm both before you plan around it.

What to settle before records leave the system

Sage names no legal prerequisite. A ledger can still contain employee names on expense reports and the names and addresses of customers and vendors, which makes the choice of objects a question for the company's lawyer. Is it legal to sell company data covers it.

05

What stays private when Sage Intacct data is licensed?

The short answer

The company decides which objects leave Sage Intacct, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its records, and the license covers defined material for a defined use.

You choose what is in scope

Only the objects you tick are exported, so the company decides exactly which record types leave Sage Intacct. An object left unticked, such as employees, stays inside the system. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.

Names are replaced before a lab sees them

Anonymization means replacing every detail that identifies a person or a company, such as a name or an email address, with a stand-in that is the same every time it appears. The ledger still reads in order, so a lab can learn from it, but it no longer says who the customers and employees are. The diagram below shows one bill before and after.

IN THE SAGE INTACCT RECORDS One vendor bill, from entry to payment Bill from Northwind Supply, entered by Sarah Chen Coded to Department: Facilities, remit to ap@northwind.com Approved by Mike Alvarez, paid 21 days after the bill Real names, a company and an email. WHAT AN AI LAB RECEIVES One vendor bill, from entry to payment Bill from Vendor 31,entered by Employee 14 Coded to Department: Facilities, remit to Contact 88 Approved by Employee 22,paid 21 days after the bill Same bill; the sequence still reads.
The same three records in both panels. The vendor, the employees and the email address are replaced with stand-ins, and the department tag and the payment timing stay intact.

The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.

Ownership and payment

Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.

Questions

Frequently asked questions

Can I download one full backup file from Sage Intacct?

No. Sage directs large exports to Data Delivery Service, which produces a separate .csv file for each object in cloud storage and never a single backup.

Can I export only what changed since my last Sage Intacct export?

Yes, with Data Delivery Service. Each selected object can be extracted in full, or limited to whatever changed since the previous export.

How do I export a single report from Sage Intacct?

Run it, pick CSV or Excel in the dropdown next to Print, and select Go. A saved financial report is exported by choosing the output type and selecting Export.

Why can't I find a report or object in Sage Intacct?

Your user probably lacks the permission to see it. Reports and exports follow the permissions set on each user, so your company administrator can either run it for you or change your access.

Why won't my custom report export?

Sage requires a custom report to be memorized before it can be exported. Save it under a name first, then export it from the Custom reports tab in the Reports center.

Do we need to export Sage Intacct before we apply?

No. The application takes about two minutes and shares no data. You only need your approximate transaction count, your years of history and your user count for the intro call. The export is needed later, when the records are transferred after you sign the license.

What is Sage Intacct data worth to AI labs and data vendors?

Sage Intacct records are priced as part of a whole dataset rather than on their own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.

Bottom line

Know what is in Sage Intacct, then see what it is worth

You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
