Key takeaways
- ClickUp shows no task total, and paid plans have unlimited storage, so the practical count is the number of rows in the Workspace task export from Settings > Imports / Exports.
- Owners and Admins can run the Workspace task export; Members cannot on most plans, and Business Plus and above can switch it on for them. List and Table view exports are limited by plan instead.
- The CSV holds task fields, comments, time estimates and time spent, but attachments come only as links, and the download link expires after one hour.
- You don't need to export anything to apply: have your task count, years of history and paid members ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is ClickUp data, and why do AI labs and data vendors buy it?
The short answer
ClickUp data is the record of a company's tracked work in ClickUp, its project-management software: each task with its owner, dates, status, time estimate, time spent and the comments people left on it. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because it shows how long work was expected to take next to the discussion that happened while it was done.
What a ClickUp Workspace records
Many companies keep a whole department's work, or the entire company's, in one ClickUp Workspace, which is the account that holds all of its people and projects. The work is organized in layers, from broad areas down to individual tasks.
- Space, Folder and List
- The layers that organize work: a Space for a department, a Folder for a project within it and a List for a set of related tasks.
- Task
- One piece of work, with an assignee (the person responsible), a status, dates, a priority and a description.
- Comment
- The conversation on a task, where people ask questions and hand work back and forth.
- Time estimate and time spent
- The hours someone expected a task to take and the hours that were tracked on it.
Why a ClickUp task teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A task is a small, complete example of a job: what needed doing, who did it, how long it was expected to take and how long it actually took.
AI labs now want to train AI agents, software that carries out a job step by step. Because ClickUp holds estimates, tracked time and comments together, an agent can learn how people plan work and where plans go wrong. The full mechanism is in AI training data: why AI companies want your company's data.
How ClickUp fits into a dataset
ClickUp is usually one of several apps in a company's dataset, next to chat, email and documents. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does ClickUp show how much data you have?
The short answer
ClickUp shows no task total for a Workspace, and storage is not a useful measure because paid plans include unlimited storage. The practical count comes from the Workspace task export, which an Owner or Admin runs from Settings > Imports / Exports: the file has one row for each task, so its row count is the number to report.
How to count tasks with the Workspace export
The export writes a CSV, a spreadsheet file any spreadsheet program can open. The steps are in ClickUp's guide to exporting task data.
- Click your Workspace avatar in the upper-left corner and choose Settings.
- In the All settings sidebar, choose Imports / Exports and click Export Items.
- Select the locations to export, picking the Spaces whose tasks you want counted.
- Click Start Export, then Download Export when it finishes.
- Open the CSV and count the rows.
Why storage is the wrong measure
Free Forever Workspaces get 60 MB of storage, and ClickUp's pricing page lists unlimited storage on every paid plan. Tasks themselves do not count against storage, so a figure from the storage meter says little about how much work is recorded.
Which plan and role you need
Some third-party write-ups describe the Workspace task export as a Business-plan feature, but ClickUp's own permissions article ties it to a role and not to a plan. Owners and Admins can run it, and on Business Plus and above a Workspace can allow Members to run it as well. The Business-plan limit that ClickUp does state applies to exporting List and Table views, so check your own account's Imports / Exports page.
| Role | Workspace task export |
|---|---|
| Owner or Admin | Allowed |
| Member | Not allowed on Free Forever, Unlimited, Core or Business; off by default on Business Plus and above, where it can be switched on |
| Guest or limited member | Not allowed |

03
What should you know about your ClickUp data before you apply?
The short answer
Have three facts ready: how many tasks your Workspace holds, how many years it covers and how many paid members you have. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. Applying shares no data, and you don't need to run an export first.
The task count
Report the number of task rows in your Workspace export, and say which Spaces it included.
The years of history
Look for the oldest creation date in the export. The year on it is your years of history.
The number of seats
A seat is a paid member on your ClickUp plan. Guests and the customers who may be named in tasks are not seats.
What you don't need to do first
The CSV above is only for counting, so you don't need the full export to apply, and you don't need to clean or scrub tasks. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your full ClickUp history?
The short answer
An Owner or Admin opens Settings > Imports / Exports, chooses the Spaces, Folders and Lists to include and downloads the CSV, which holds task fields, comments and time figures. The download link lasts one hour, so save the file straight away. Attachments arrive as links, and anything the CSV leaves out has to come through the ClickUp API.
The steps
- Open Settings > Imports / Exports from your Workspace avatar menu and click Export Items.
- Choose the Spaces, Folders, Subfolders and Lists to include. ClickUp warns that very large exports may fail, so export a few locations at a time when the Workspace is big.
- Click Start Export, and download the file when ClickUp finishes. A link to the same CSV also arrives by email.
- Save the CSV at once, because links to exported data expire after one hour.
What the CSV contains
Each task row holds its ID and link, name, description, status, priority, assignees and tags, and its dates in both plain text and Unix format. It also holds the parent task and subtask IDs, checklists, comments, time estimated, time spent and rolled-up time, plus the names of the List, Folder and Space it sits in.
What the CSV leaves out
The file gives links to the attachments, not the files, so the files must be fetched separately, for example through the API. Docs, whiteboards, dashboard cards and form responses have their own export options. ClickUp says exporting all Docs in bulk from a Workspace is not yet available.
The overview of ClickUp's export options adds that the API has a standard limit of 100 requests per minute for each token, which a developer should plan around.
Exporting without the Workspace option
If the Workspace export is not available to you, export individual List or Table views instead. Free Forever and Unlimited plans can export five views, the Core plan has List view exports as a trial, and Business and above have unlimited List view exports, with Table and Form view exports from Business.

05
What stays private when ClickUp data is licensed?
The short answer
The company chooses which Spaces and Lists go into the export, so a private Space stays out unless it is selected, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its ClickUp data, and the license covers defined records for a defined use.
You choose what is in scope
The export lets you tick individual locations, so a Space for human resources, legal or finance can be left out of the file. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person or a company, such as a name or a phone number, with a stand-in that is the same every time it appears. The task still reads in order, so a lab can learn from it, but it no longer says who the people are. The diagram below shows one task before and after.
The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
Why can't I export my ClickUp Workspace?
The Workspace task export is limited by role: Owners and Admins can run it, and Members cannot unless a Business Plus or higher plan lets the Workspace switch it on. If you have no access, export individual List or Table views, which are limited by plan.
Does the ClickUp export include attachments?
No. The CSV has a hyperlink to each attachment but not the file itself, so the files must be fetched separately, for example through the API.
How long is the ClickUp export link valid?
One hour. Links to exported data expire after that, so download the CSV as soon as it is ready.
Why did my ClickUp export fail?
Very large exports can fail. ClickUp advises choosing fewer Spaces, Folders and Lists each time, so run the export in several smaller groups of locations.
Does ClickUp export comments and time tracking?
Yes. The Workspace task export includes the comments, the number of assigned comments, time estimated, time spent and rolled-up time for each task.
Do we need to export ClickUp before we apply?
No. The application takes about two minutes and shares no data. You only need your approximate task count, your years of history and your number of paid members for the intro call. The full export is needed later, when the records are transferred after you sign the license.
What is ClickUp data worth to AI labs and data vendors?
ClickUp history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the tasks show work being planned and finished. What your data is worth explains the factors.
Bottom line
Know what is in ClickUp, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
