How to find and export your monday.com data for AI training

monday.com shows no single item total for the account, so the best number comes from counting the item rows in the account data export, which an account admin runs from Administration > General > Account > Export account data. The export covers shareable and private boards but not archived boards or workdocs, it can run only once every 24 hours, and the emailed download link lasts 24 hours. Below, you'll find what monday.com data is and why AI labs and data vendors buy it, how to count your items, what to know before you apply, every export step, and what stays private.

Key takeaways

  • monday.com has no single item total, so you count the item rows in the board files of the account data export, which an admin runs from Administration > General > Account > Export account data.
  • The export includes shareable and private boards and their files (unless you tick the box to skip files), but not archived boards or workdocs, so export workdocs as PDF before you start.
  • The export can run once every 24 hours, takes up to 24 hours to prepare on a large account, and its emailed download link is valid for 24 hours.
  • You don't need to export anything to apply: have your item count, years of history and paid seats ready, and the data vendor anonymizes the records before any AI lab sees them.

01

What is monday.com data, and why do AI labs and data vendors buy it?

The short answer

monday.com data is the record of how a company plans and tracks its work in monday.com, a work-management app: boards of items, each with the stages, owners, dates and status updates a team put on it. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because a board shows how a process was designed and how people actually ran it, step by step.

What a monday.com account records

A work-management app is software where a team lists its tasks or jobs and tracks each one until it is done. In monday.com, the list is called a board, each row on a board is an item, and the columns are fields the team chose for itself, such as stage, owner, due date and status. A board can be shareable, meaning visible to the people it is shared with, or private.

Each item also has an updates thread, where people post comments and notes about it. The same account can hold many boards for different teams, so one company's monday.com can describe sales, projects, hiring or field work.

Why a work board teaches an AI model something

An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A board is useful because its columns show the process the team defined, and the updates show what happened to each item as it moved through that process. The gap between the design and the practice is exactly what a model needs to learn how a business really operates.

AI labs now also want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. The full mechanism is in AI training data: why AI companies want your company's data.

How monday.com fits into a dataset

monday.com is usually one of several apps in a company's dataset, next to email, documents and billing records. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.

02

Where does monday.com show how much data you have?

The short answer

monday.com shows no single item total for the whole account. The best number comes from the account data export in Administration > General > Account, which contains every shareable and private board: you count the item rows in its board files. Only an account admin can open Administration.

How to count your items

The steps below measure the account from monday.com's own export, which monday.com describes in its guide to exporting an account's data.

  1. Log in as an admin, select your profile picture in the top-right corner and choose Administration.
  2. Open General > Account and scroll to the bottom of the page, where the Export account data section sits.
  3. Run the export, which the next section walks through, and count the item rows across the board files in the zip.

Why there is no total on screen

monday.com stores items inside many separate boards, and it does not add them into one figure for the account. Counting the rows in the exported files is the dependable way to get a total. Each board file lists its items, so the sum of those rows is the number of items.

How often you can check

The account export is limited to one run per day, and each run sends a notice to every admin. Run it once, keep the zip, and count from that copy rather than exporting again.

03

What should you know about your monday.com data before you apply?

The short answer

Have three facts ready: how many items your account holds, how many years it covers and how many paid seats you have. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.

The item count

The total is the number of item rows across all the board files in an account export. If you have not exported, give the data vendor a rough number of boards and a typical number of items per board, and say it is an estimate.

The years of history

The years of history come from the year the account was created or from the date of the oldest board, whichever you can find more easily.

The number of seats

Seats are the paid seats on your plan, because monday.com charges per seat, as its pricing page shows.

What you don't need to do first

You don't need to export anything to apply, and you don't need to clean or scrub boards. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.

04

How do you export your full monday.com history?

The short answer

An account admin opens Administration > General > Account, scrolls to Export account data and clicks Export. monday.com emails a link to a zip file within 24 hours, and the link works for 24 hours. The export covers shareable and private boards but not archived boards or workdocs.

Who can export

Only an account admin can export the whole account. The export can be run once every 24 hours, and every admin on the account gets a notification each time someone starts it.

The steps

  1. Export your workdocs as PDF first, because the account export does not handle them (see below).
  2. Log in as an admin and go to Administration > General > Account. Scroll to Export account data at the bottom of the page.
  3. Press Export. Leave the files included for a complete copy, or tick the box above the button to skip files and finish sooner.
  4. Wait for the email, which can take up to 24 hours on a large account, and download the zip from its link within 24 hours of receiving it.
  5. If the link lapses, start the process again from the top, which gives you a fresh link.

What the export includes and leaves out

The zip holds the account's shareable and private boards, along with the files uploaded to them unless you skipped files. Archived boards and workdocs are not supported, so a board that was archived earlier will not appear. monday.com's help article also notes that dashboards are not included, although their data comes from boards that are, and that the Emails & Activities timeline is not supported.

FILES INCLUDED The same account, exported Shareable boardsIncluded Private boardsIncluded Files uploaded to boardsIncluded Archived boards and workdocsNot included Emails & Activities timelineNot included The complete copy, and the slower one. FILES SKIPPED The same account, exported Shareable boardsIncluded Private boardsIncluded Files uploaded to boardsSkipped Archived boards and workdocsNot included Emails & Activities timelineNot included Faster to prepare; boards are unchanged.
The same account exported twice. Boards come out either way, files arrive unless you tick the box to skip them, and archived boards and workdocs are left out of both.

Other ways to read your boards

For a single board, monday.com also documents exporting to Excel, and its API, the programming interface developers use, can read boards, items and column values. Neither replaces the account export for a full history, but either is handy for checking one board.

05

What stays private when monday.com data is licensed?

The short answer

The company decides which board files are in scope, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its monday.com data, and the license covers defined records for a defined use.

You choose what is in scope

The account export includes private boards, so you can decide which board files to hold back before anything is shared. A company can license a sales pipeline and keep a hiring board out. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.

Names are replaced before a lab sees them

Anonymization means replacing every detail that identifies a person or a company, such as a name or an email address, with a stand-in that is the same every time it appears. The item still reads in order, so a lab can learn from it, but it no longer says who the people are. The diagram below shows one item before and after.

IN THE MONDAY.COM EXPORT Board: Kitchen remodels Item: Brooks kitchen remodelOwner: Mike Alvarez Update, Sarah Chen: Dana Brooksapproved the new quote on Friday. The same item in both panels. The client, the owner and the people are replaced with stand-ins, while the approval, the status change and the due date stay in order.

The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.

Ownership and payment

Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.

Questions

Frequently asked questions

Are archived boards included in a monday.com export?

No. The account data export does not support archived boards or workdocs. Save workdocs as PDF before you start, so they are not lost.

How often can we export monday.com account data?

Once every 24 hours. Every admin on the account receives a notification each time an export starts.

How long does a monday.com export take?

Up to 24 hours on a larger account. The link in the email works for 24 hours, and you can start again if it lapses.

Who can export a whole monday.com account?

An account admin, through the Administration section reached from the profile picture at the top right. Administration is the area reserved for account admins.

Do we need to export monday.com before we apply?

No. The application takes about two minutes and shares no data. You only need your approximate item count, your years of history and your number of paid seats for the intro call. The full export is needed later, when the records are transferred after you sign the license.

Can we keep private boards out of what we license?

Yes. The account export contains private boards, so the company chooses which board files to hold back, and the data vendor deletes records too sensitive to clean safely.

What is monday.com data worth to AI labs and data vendors?

monday.com history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the boards show each job being run. What your data is worth explains the factors.

Bottom line

Know what is in monday.com, then see what it is worth

You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
