Key takeaways
- Aircall lists each call, its duration and whether it has a recording under Call History in the Dashboard; you add up recorded in-call duration and divide by 3,600 for hours.
- The Dashboard and exports cover only six months, while Essentials stores recordings for up to one year and Professional and Enterprise have no set limit, so older recordings are requested from Aircall support.
- Admins export CSV files and play recordings from the Dashboard; a developer can page through the Calls API, where recording links expire after one hour and 10,000 calls is the most a list returns.
- You don't need to export anything to apply: have your recorded hours, years on Aircall and seat count ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is Aircall data, and why do AI labs and data vendors buy it?
The short answer
Aircall data is the history of a company's business phone calls: a record of each call and, where recording is on, the audio of the conversation. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because sales and support teams spend their days on the phone, and a recording shows how those conversations actually go.
What an Aircall account records
Aircall is a cloud phone system built for sales and customer support teams. Every call is logged against the line it used (a business phone number), the user who handled it and the team that user belongs to. Calls can be recorded, and the recording is stored beside the log entry.
The log also captures how the caller moved through the business before a person picked up. It records waiting time, the time it took to answer and the time spent in the IVR, the automated menu that tells callers to press a number to reach a department.
Why a recorded sales or support call teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A call from a customer with a problem shows the whole exchange: how the agent greets them, which questions get asked, how an objection is handled and whether the call ends in a sale, a fix or a transfer.
AI labs now want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. A data vendor can turn anonymized calls into worked examples that an agent studies like an answer key. The full mechanism is in AI training data: why AI companies want your company's data.
How Aircall fits into a dataset
Aircall is one of several apps in a company's dataset, which usually also includes email, documents and a customer database. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does Aircall show how much data you have?
The short answer
Aircall shows each call, its duration and whether it has a recording under Call History in the Aircall Dashboard, a web screen that admins and supervisors can open. The Dashboard reaches back only six months, so the figure you read there is a recent slice of the account, and anything older has to be requested from Aircall support.
How to count your recorded hours
Phone audio is measured in hours, so the steps below end with a conversion from seconds. Each step names the screen you need.
- Sign in to the Aircall Dashboard with an admin account.
- Go to Call History and narrow the list by date range and by phone line. Six months is the furthest back the screen reaches.
- Check the Recording field. A call that has audio shows a recording there, and you can play it without leaving the Dashboard.
- Export the filtered list as a CSV file (a plain spreadsheet file). Each row carries the in-call duration, the waiting time, the time to answer, the IVR time and the call ID. Sum the in-call duration of the recorded calls, then divide the seconds by 3,600 to get hours.
- To total by user, team or line, switch to Analytics, choose the period and click Download in the top-right corner. Picking CSV produces a ZIP file holding one CSV per dashboard tile.
Aircall describes the Call History and Analytics exports in its guide to accessing, exporting and deleting call data, and the Analytics download options in export data options in Aircall Analytics. A single tile can be downloaded too, and choosing All results there reaches past the 1,000 rows the table shows.
Who sees what, and which plans include analytics
Admins see every call. Supervisors see the calls and recordings for the numbers they manage, and agents can download recordings of calls they took part in.
| Plan | Analytics | Analytics history |
|---|---|---|
| Essentials | Basic analytics. | Up to six months. |
| Professional | Advanced analytics dashboards, and the Analytics export. | Up to six months. |
| Enterprise (custom pricing) | Includes Analytics+. | Unlimited with Analytics+. |
The plan details come from Aircall's pricing page, which names the top tier Enterprise, while Aircall's help articles refer to it as the Custom plan. Aircall's export guide says the Export button on the Analytics tab is a Professional-plan feature, so an Essentials account reads its totals from Call History instead.
Why the Dashboard figure is not an all-time total
Exports and the Dashboard reach back six months, and the Aircall Workspace app (the phone app agents use) shows only the last five. A company that has used Aircall for three years has far more recordings than any export will show. The diagram shows how much each kind of plan stores and how much you can see.
03
What should you know about your Aircall data before you apply?
The short answer
Have three facts ready: how many hours of recorded calls you have, how many years your company has used Aircall and how many licensed users it has. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.
The hours of recorded calls
Add up the in-call duration of recorded calls from the Call History export and divide by 3,600. On Professional and Enterprise the Dashboard understates the account, because Aircall stores recordings with no set limit and releases the older ones on request, so it is worth asking Aircall support how deep your stored archive goes. On Essentials, Aircall stores recordings for up to one year, so about 12 months of audio is the most you can report.
The years of history
The years of history start on the day your Aircall account was opened, which is printed on your first invoice. Do not use the oldest call in the Dashboard, since that is never more than six months old.
The number of seats
A seat is a licensed Aircall user. Phone numbers, IVR lines and AI voice agents are not seats, so leave them out of the count.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. Applying through micro1, the data vendor we typically refer companies to, shares no data, and the vendor anonymizes the records before anyone else sees them. Nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your Aircall history and recordings?
The short answer
An admin exports Call History from the Dashboard as a CSV file, downloads recordings one by one from the same screen, and asks Aircall support for anything older than six months. For a bulk pull, a developer pages through the Calls API, where each recording link expires after an hour. Aircall keeps recordings for no more than 30 days after your agreement ends, so export before you cancel.
Who can export
Admins can export and play every call. Supervisors can play and save recordings for the numbers they manage. Agents can download recordings only for calls they took part in.
Exporting the last six months: the steps
- In Call History, choose a date range within the past six months and export that list to CSV. Taking one month at a time keeps each file small.
- In Analytics, click Download to export the dashboard as CSV, or click Download on a single tile and pick All results, which exports more than the 1,000 rows the table displays.
- Play and save recordings from the Dashboard, for the numbers you manage.
Pulling recordings in bulk with the API
For a bulk pull, a developer pages through the Calls API. An API is a way for software to request data directly, and in Aircall each call carries a link to its MP3 recording. That link works for one hour, and the short version of the link works for three hours, as the developer guide to call data explains, so the script should save each file as soon as it lists it.
Two limits shape the job. The list returns at most 10,000 calls even when paged, and Aircall allows 120 requests a minute per company, as its API reference states. Call search also covers only six months of history.
Getting recordings older than six months
For anything older than six months, open a request with Aircall support through Help Center > Contact Us. Support can send links to older recordings when they exist, but it will not download them on your behalf. Accounts with Analytics+ can instead open the Total Calls figure in the Analytics+ dashboard and download all results.
What the export leaves out, and what happens when you leave
- Aircall's help articles show no bulk download button for recordings, so large pulls go through the API.
- Analytics CSV exports are produced in UTC, whatever time zone the dashboard filters show.
- Deleting a recording also deletes its transcript and AI insights, and a deleted recording cannot be restored. Call records, as opposed to recordings, cannot be deleted at all.
- Once your contract with Aircall ends, a 30-day window opens for exporting, and when it closes Aircall removes the recordings it holds for you.

05
What stays private when Aircall data is licensed?
The short answer
The company decides which numbers and teams are in scope, and the data vendor replaces names, phone numbers and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its Aircall records, and the license covers defined material for a defined use.
You choose what is in scope
The company decides which phone numbers and teams are exported, and a recording that was deleted in Aircall stays deleted. Starting with one team or line, such as support, is a sound way to begin.
Names and numbers are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name, a phone number or an email address, with a stand-in that is the same every time it appears. A call still reads in order, so a lab can learn from it, but it no longer says who was speaking. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them. The method, including how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
How far back can we export Aircall call history?
Six months is as far as the Dashboard and its exports go. For older call data and recordings, send a request to Aircall support through Help Center > Contact Us, and Analytics+ accounts can download more than six months from the Analytics+ dashboard.
Does Aircall delete old recordings on its own?
The answer depends on the plan: Essentials stores recordings for as long as one year, and Professional and Enterprise set no time limit. Whatever the plan, the Dashboard displays only six months.
Can we download all Aircall recordings at once?
Aircall's help articles do not describe a bulk download button. Admins play and save recordings from the Dashboard, and bigger jobs use the Calls API, in which every recording link expires after an hour.
Who can see every call in Aircall?
Admins see all calls. Supervisors see calls and recordings for the numbers they manage, and agents can download recordings of calls they took part in.
What happens to our recordings if we cancel Aircall?
Aircall gives you 30 days after the agreement ends to export, and then deletes the data it holds for you. Export recordings before you cancel.
Do we need to export Aircall before we apply?
No. The application shares no data. You only need your approximate recorded hours, your years on Aircall and your seat count for the intro call. The full export is needed later, after you sign the license.
What is Aircall data worth to AI labs and data vendors?
Aircall recordings are priced as part of a whole dataset rather than on their own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in Aircall, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
