Key takeaways
- Dialpad gives call durations in the Analytics call logs export, which Company Admins and users with Analytics permission can request; you add up recorded durations and divide by 3,600 for hours.
- Dialpad keeps data until you delete it, but recordings are retrievable in the Admin Portal only within your plan's access window: 45 days on Essential and Advanced, up to a year on Premium.
- The recordings export lists every recording with an MP3 link but is off by default; Contact Center recordings can also go to Google Cloud Storage through Bulk Backup, which reaches back two years.
- You don't need to export anything to apply: have your recorded hours, years on Dialpad and seat count ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is Dialpad data, and why do AI labs and data vendors buy it?
The short answer
Dialpad data is the record of a company's business calls and the text transcripts made from them: a log entry for each call, the audio where recording was on, and a written version of what was said. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because a call with both its audio and its transcript shows a real conversation in a form a model can study directly.
What a Dialpad account records
Dialpad is a cloud phone service that also records and transcribes calls. A company organizes its lines into an office, departments (such as sales or billing) and contact centers, which are teams of agents that answer a shared customer line. Each call is logged against the line that handled it.
When recording is on, the audio is saved, and Dialpad's AI turns the speech into a transcript. The audio and transcript are tied to the office, department or contact center line, so a buyer knows which part of the business each conversation came from.
Why a transcribed phone call teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A transcribed call is a finished example of a customer asking for something and an employee responding, with the outcome visible in how the call ends. The audio adds tone and pacing that the words alone do not carry.
AI labs now want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. A data vendor can turn anonymized calls into worked examples that an agent studies like an answer key. The full mechanism is in AI training data: why AI companies want your company's data.
How Dialpad fits into a dataset
Dialpad is one of several apps in a company's dataset, which usually also includes email, documents and tickets. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does Dialpad show how much data you have?
The short answer
Dialpad's call volumes and durations live in Analytics in the Admin Portal, where a Company Admin, or anyone granted the Analytics permission, can export call logs for the whole office as CSV files. The logs give durations, so you add up the recorded calls and convert to hours. A recording count is not in the default exports, and recordings older than your plan's access window cannot be retrieved in the Admin Portal.
How to count your recorded hours
- In the Dialpad Admin Portal, go to Analytics and choose the office or group, plus the dates you want to cover.
- Click Export (.csv), choose the Call logs report and click Send report. Dialpad emails you a link, and the link downloads the CSV file (a plain spreadsheet file).
- Add up the durations of the calls that were recorded and divide the seconds by 3,600 to get hours.
- To count the recordings themselves, ask Dialpad Customer Care to switch on the recordings export, which is off by default.
Dialpad's guide to exporting your analytics data lists every report. Only the Users/Groups filter and the Date filter shape the exported data, so set those two before you export. A call to a department or contact center can appear on more than one row, because the log records the call to the line and each ring to an agent.
Who can export, and what the plans allow
Office-wide exports are open to Company Admins and to anyone given the Analytics permission. Every Dialpad plan can export analytics, but the choice of reports varies, and the Standard plan gets a shorter list.
Why the log may not match the audio you can reach
Dialpad keeps data until you delete it, cancel the account or apply a retention policy, but being kept is not the same as being reachable. Each plan has an access window, the period during which you can retrieve recordings and transcripts through the Admin Portal. Your call logs may list far more calls than you can download audio for, so the diagram separates the two.
03
What should you know about your Dialpad data before you apply?
The short answer
Have three facts ready: how many hours of recorded calls you can export, how many years your company has used Dialpad and how many licensed users it has. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.
The hours of recorded calls
Add up the durations of recorded calls from the call logs export and divide by 3,600. Report the hours you can actually get out of Dialpad, because recordings older than your plan's access window cannot be retrieved in the Admin Portal even though Dialpad may still hold them.
The years of history
The years of history start on the date your Dialpad company account was created. That date is a better guide than the oldest recording you can reach, since the access window hides older audio.
The number of seats
A seat is a licensed Dialpad user. Count the people with a license, not the lines or departments they answer.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. Applying through micro1, the data vendor we typically refer companies to, shares no data, and the vendor anonymizes the records before anyone else sees them. Nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your Dialpad call logs and recordings?
The short answer
A Company Admin or a user with Analytics permission exports the call logs report from Analytics, then asks Dialpad Customer Care to switch on the recordings export, which lists every recording with a link to its MP3 file. Contact Center recordings can also be backed up to Google Cloud Storage with Bulk Backup. Anything outside your plan's access window cannot be retrieved from the portal.
Who can export
The same people, a Company Admin or a user with the Analytics permission, can run office-wide exports. Only a Company Admin with a Google Cloud Storage account can set up Bulk Backup.
Exporting call logs and recordings: the steps
- Open Analytics in the Admin Portal and export the Call logs report through Export (.csv). Run it again for every office or group and every date range you need.
- Contact Dialpad Customer Care to enable the recordings export. After that, choose the Recordings report and click Send report the same way. The CSV lists every recording with a link to its MP3 file.
- Download the MP3 files from those links before the plan's access window closes.
Backing up Contact Center recordings with Bulk Backup
Bulk Backup saves Contact Center recordings to a Google Cloud Storage bucket, a folder in Google's cloud storage that you own. It is available to customers on a Dialpad Support plan and to those with Coaching Teams, as the Bulk Backup guide explains.
- As a Company Admin, go to Admin Settings > My Company > Integrations > Google Cloud Storage and enter the bucket name. Before that you create the bucket and give Dialpad's service account the Storage Object User role on it.
- Under Ai Contact Centers > Call Recording Backup, tick Enable automatic call recording backup and select the contact centers you want. Coaching Teams have an equivalent setting.
- To rescue older audio, ask Dialpad to run a manual backup, which can reach back two years.
What the export leaves out
- The recordings export is off by default and leaves out admin call recordings.
- Transcripts are not part of any analytics export. They must be pulled one call at a time through the API, which is a way for software to request data directly.
- Bulk Backup covers Contact Center recordings only, on Support plans and Coaching Teams.
Retention and what happens if you cancel
Dialpad deletes your data 180 days after an account is canceled. A Company Admin can also set a retention policy that removes recordings sooner, and the data retention policy explains that removed content cannot be retrieved. Export before you cancel or tighten retention.

05
What stays private when Dialpad data is licensed?
The short answer
The company decides which offices, departments and contact centers are in scope, and the data vendor replaces names, phone numbers and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its Dialpad records, and the license covers defined material for a defined use.
You choose what is in scope
The company decides which offices, departments and contact centers are exported, and any line you want kept out is left off the filters. Because each export is built from the filters you set, nothing outside them is included.
Names and numbers are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name, a phone number or an email address, with a stand-in that is the same every time it appears. A call still reads in order, so a lab can learn from it, but it no longer says who was speaking. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them. The method, including how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
Does Dialpad delete recordings after 45 days?
No, not automatically. Data stays until someone deletes it, the account is canceled or a retention policy removes it. What ends at 45 days on Essential and Advanced plans is access, meaning the Admin Portal stops letting you retrieve recordings.
Why is there no recordings export in our Dialpad Analytics?
The recordings export is switched off by default. Contact Dialpad Customer Care and ask them to enable it for your account.
What happens to Dialpad data if we cancel?
Cancellation starts a 180-day countdown, and when it ends Dialpad deletes the data. Export call logs and recordings before the countdown runs out.
Does a Dialpad analytics export include transcripts?
No. Transcripts are not in analytics exports, and they must be pulled for each call through the API.
Can we back up Dialpad recordings automatically?
For Contact Center recordings, yes. A Company Admin can turn on Bulk Backup to Google Cloud Storage, and older recordings can be backed up manually for up to two years. It is offered on Support plans and with Coaching Teams.
Do we need to export Dialpad before we apply?
No. The application shares no data. You only need your approximate recorded hours, your years on Dialpad and your seat count for the intro call. The full export is needed later, after you sign the license.
What is Dialpad data worth to AI labs and data vendors?
Dialpad calls are priced as part of a whole dataset rather than on their own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in Dialpad, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
