Key takeaways
- WhatsApp Business shows no message total: in the app you export a few busy chats and scale up, and with the Cloud API you count the messages stored in your own database.
- The app exports one chat at a time from the chat menu, with media included or left out; a chat backup copies every chat but is meant to restore a phone and can be encrypted.
- Meta's Cloud API documentation gives messages a maximum retention period of 30 days, so older history exists only if your own systems saved it when it arrived.
- You don't need to export anything to apply: have your message count, years of history and number of phones or agents ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is WhatsApp Business data, and why do AI labs and data vendors buy it?
The short answer
WhatsApp Business data is the record of a company's conversations with its customers on WhatsApp: quotes, order questions, scheduling and follow-ups, often with photos attached. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because each chat is a whole customer exchange in plain language, from first contact to the job being finished.
What a WhatsApp Business account records
WhatsApp is a messaging app, and companies use it in two ways. The WhatsApp Business app runs on a phone, where an owner or a small team answers customers directly. The WhatsApp Business Platform (with its Cloud API, the interface that lets a company's own software send and receive WhatsApp messages) is used by larger teams who answer through a shared inbox or customer-management system.
Either way, a customer chat is a thread of messages, photos, voice notes and documents between the customer and the business, with a date and time on each one.
Why a customer chat teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. Customers who write on WhatsApp ask in their own words, send a photo of the broken part or the site, and agree on a time and a price. A chat therefore shows how a company turns a loose question into a completed job.
AI labs now want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. A data vendor can turn anonymized chats into worked examples that an agent studies like an answer key. The full mechanism is in AI training data: why AI companies want your company's data.
How WhatsApp Business fits into a dataset
WhatsApp Business is usually one of several apps in a company's dataset, which often also includes email, tickets and team chat. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does WhatsApp Business show how much data you have?
The short answer
WhatsApp Business shows no message total in either product. For the app, you export a few busy customer chats, count their messages and scale up by the number of chats on the phone. For the Cloud API, you count the messages stored in your own database, because Meta keeps no history that you can query later.
First, confirm which product you use
The two products keep data in different places, so the way to count differs. The app keeps chats on the phone that holds the business account. The Cloud API keeps nothing for you, and the history exists only in whatever system your company or its software provider built to save messages.
Counting messages in the WhatsApp Business app
- Pick five or ten busy customer chats that represent a normal week.
- Export each one with the chat export described in the next section, and count the messages in the text file.
- Work out the average number of messages per chat.
- Count the customer chats on the phone and multiply it by that average. Tell the vendor the result is an estimate.
Counting messages with the Cloud API
Cloud API messages arrive in the database, customer-management system or shared inbox tool that receives them. Ask whoever runs that system for a count of stored messages, both incoming and outgoing.
Meta's own documentation says it keeps messages for a maximum of 30 days, for features such as retransmission, so nothing older can be retrieved from Meta. Meta's data privacy and security page covers the details.
Why there is no shortcut
No dashboard in either product adds up all the messages ever sent. The app has no admin console, and Meta's platform reports concern delivery of messages, not their full text. A sampled count is the practical answer for the app, and a database count is the answer for the API.
03
What should you know about your WhatsApp Business data before you apply?
The short answer
Have three facts ready: roughly how many messages your business chats hold, how many years they cover and how many phones or agents handle them. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them, and applying through micro1, the data vendor we typically refer companies to, shares no data.
The message count
WhatsApp Business is measured in messages. Give the total if your own database has one, or the sampled estimate from the app, and say which it is.
The years of history
The years of history run from the oldest chat on the phone, or from the first message in your own message store if you use the Cloud API. Both only reach back as far as chats and records were kept, since deleted chats are gone.
The number of seats
For the app, count the phones that run the business account. For the Cloud API, count the agents who answer customers in your inbox.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your WhatsApp Business history?
The short answer
In the WhatsApp Business app, you open a customer chat, choose Export chat from the chat menu, pick whether to include media and send the file to an email or storage account you control, then repeat for each chat. For Cloud API history, you export from your own message database or from your provider's reporting or export tool.
Exporting from the WhatsApp Business app: the steps
The app exports one chat at a time. WhatsApp's own help page for exporting a chat gives slightly different taps on Android and iPhone.
- Open an individual or group chat with a customer.
- On Android, tap the three-dot menu, then More, then Export chat. On iPhone, tap the contact or group name at the top of the chat, then Export chat.
- Choose whether to export Without media or Include media. On iPhone the choices are With all media, With selected media or Without media.
- Choose where to send the file, such as an email account or a storage app that your company controls.
- Repeat for each chat that you want to include.
WhatsApp describes this in its guide to exporting your chat history. The result is a text file (on iPhone, a ZIP file), and it cannot be loaded back into WhatsApp. When you include media on Android, only the most recent media is attached, and view-once messages are never exported.
Why a chat backup is not an export
A backup copies every chat on the phone, and it is found at Settings > Chats > Chat backup. It goes to WhatsApp's own cloud storage, to a Google Account on Android, or to iCloud on iPhone.
Its purpose is to restore WhatsApp on a phone, and it can be end-to-end encrypted, which means only a password, passkey or 64-digit key can open it. It is therefore not a readable history. WhatsApp explains the options in its guide to backing up your chat history.
Exporting Cloud API history
The Cloud API has no export button, because the history is your own data. Export from the database or inbox tool where your company saves messages, or ask your software provider for its export or reporting tool.
Meta's documentation says messages have a maximum retention period of 30 days, used for features such as retransmission. Media files uploaded through the API persist for 30 days unless deleted sooner, and the media ID that arrives in a webhook (the automatic notification sent to your software when a message comes in) expires after 7 days, as the media documentation states.
Anything older than that exists only if your systems saved it when it arrived. A company that did not store its messages has no Cloud API history to export.
What the export leaves out
A chat export covers one conversation, not the whole account. It can omit media if you choose that, and it leaves out view-once messages. Personal chats on the same phone are outside the scope too, because you only export the business chats you select.

05
What stays private when WhatsApp Business data is licensed?
The short answer
The company chooses which business chats are exported, and personal chats on the same phone stay out of scope. The data vendor replaces names, phone numbers and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its chats, and the license covers defined records for a defined use.
You choose what is in scope
Because the app exports one chat at a time, nothing leaves the phone unless someone selects it. A company can export only its customer chats, leave out anything personal, and leave out photos and voice notes by exporting without media. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name, a phone number or an address, with a stand-in that is the same every time it appears. The chat still reads in order, so a lab can learn from it, but it no longer says who the people are. The diagram below shows one chat before and after.
The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
Does Meta keep our WhatsApp Cloud API message history?
Not for long. Meta's documentation gives messages a maximum retention period of 30 days, so your own systems are the only lasting record.
Can we export every WhatsApp Business app chat at once?
No. The app exports one chat at a time. A chat backup covers every chat, but it exists to restore WhatsApp on a phone and can be encrypted, so it is not a readable copy.
Can exported WhatsApp chats include photos and other media?
Yes. When you export a chat, you choose whether to include media or to export it without.
Can an exported WhatsApp chat be imported back into WhatsApp?
No. The export is a text file, not a backup file, so WhatsApp cannot load it back in.
Do we need to export WhatsApp Business before we apply?
No. The application takes about two minutes and shares no data. You only need an approximate message count, your years of history and the number of phones or agents for the intro call, and the chats are exported later, after you sign the license.
Can we license only our customer chats?
Yes. Personal chats on the same phone are out of scope, and you decide which business chats to export.
What is WhatsApp Business data worth to AI labs and data vendors?
WhatsApp chats are priced as part of a whole dataset rather than on their own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in WhatsApp Business, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
