Key takeaways
- Slack shows your message count as Messages sent in Workspace analytics, but only for a recent date range, so an all-time total comes from counting the messages in a full export.
- A Workspace Owner or Admin exports from Admin > Workspace settings > Security > Import & export data, and Slack emails a ZIP file when it is ready.
- Free and Pro exports cover public channels only; private channels and DMs need Business+ with Slack's approval, or an Enterprise plan.
- You don't need to export anything to apply: have your message count, years of history and member count ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is Slack data, and why do AI labs and data vendors buy it?
The short answer
Slack data is the written history of a company's team chat: every message, thread, reaction and file link shared in its Slack workspace. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because a Slack thread keeps a question, the replies and the outcome together, which shows a team working its way from a problem to a solution.
What a Slack workspace records
Slack is a workplace messaging app. A company's workspace is its own private Slack space, divided into channels, which are shared rooms organized by topic or team. A public channel is open to every member, and a private channel is open only to the people invited to it.
People also write to each other in direct messages (DMs), and any reply to a message forms a thread. Over the years a workspace builds up all of these messages, plus the emoji reactions people add and the links to files they share.
Why a chat thread teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. Public text shows finished results, such as a published article, but it rarely shows how a team reached a decision. A Slack thread shows the decision being made: someone raises a problem, colleagues suggest fixes, and one answer is accepted.
AI labs now want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. A data vendor can turn anonymized threads into worked examples that an agent studies like an answer key, or build a practice copy of a team's workflow in which the agent is scored on each attempt. The full mechanism is in AI training data: why AI companies want your company's data.
Channel names, reactions and file links add structure to the text. Channel names tell a model which topics belong together, reactions hint at which replies people agreed with, and file links point to the documents under discussion.
How Slack fits into a dataset
Slack is one of several apps in a company's dataset, which usually also includes email, documents and tickets. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each app on its own, and what your data is worth explains what moves it.
02
Where does Slack show how much data you have?
The short answer
Slack shows the number of messages on the Overview tab of Workspace analytics, in a figure called Messages sent. Workspace Owners and Admins open it from Admin in the sidebar. The figure covers only the date range you select, so for the most complete total, count the messages in a full export.
How to read your message count
The steps below read the size of a workspace from Slack's own analytics. Each step names the menu you need.
- Log in to Slack as a Workspace Owner or Admin. On an Enterprise plan, you need to be an Org Owner or Org Admin.
- Open Admin in the left sidebar and choose Workspace analytics. On Enterprise, open your organization name, then Tools & settings > Organization settings > Analytics.
- The Overview tab lists Messages sent and Files uploaded for the date range you picked, and a Where messages are sent panel divides the messages among public channels, private channels and DMs.
- To keep a copy of these figures, use Export on the Overview tab or Export CSV on any other tab.
- For an all-time total, run the full workspace export described further down and count the messages in the JSON files it produces.
The date range starts at the last 28 days, and a menu in the top-right corner of the dashboard changes it, as Slack's analytics guide explains.
What each plan's analytics shows
Owners and Admins can open the dashboard on every plan, but how much it shows depends on the plan.
| Plan | What the dashboard shows |
|---|---|
| Free | The Overview tab only. |
| Pro and Business+ | The Overview tab, plus Channels and Members tabs with more detail. |
| Enterprise | Organization-wide dashboards, among them a Workspaces tab that counts messages in public channels, private channels and DMs. |
Why the analytics figure is not an all-time total
Analytics reports a recent period, not the whole life of the workspace. A figure for the last 28 days says how busy the workspace is now, but it does not say how many messages were sent over four years. The count from a full export is the reliable one.
03
What should you know about your Slack data before you apply?
The short answer
Have three facts ready: how many messages your workspace holds, how many years it covers and how many members it has. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them.
The message count
The most reliable message count is the total from a full export, counted from the exported JSON files. If you only have analytics, take Messages sent for the longest date range available, scale it to the number of years the workspace has been active, and say that it is an estimate.
The years of history
The years of history come from the date of the oldest message in your export, or from the day the workspace was created. A Free workspace permanently deletes messages and files older than one year, as Slack's guide to its import and export tools says, so a Free workspace can offer one year of history at most, however old it is.
The number of members
The member count is the Total members figure on the Overview tab. It counts people who have an account in the workspace and leaves out deactivated members.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your full Slack history?
The short answer
A Workspace Owner or Admin starts the export from Admin > Workspace settings > Security > Import & export data, chooses a date range, and downloads the ZIP file that Slack emails when it is ready. Free and Pro workspaces export public channels only, and private channels and DMs need Business+ with Slack's approval or an Enterprise plan.
Who can start an export
On Free, Pro and Business+, the person exporting must be a Workspace Owner or Admin. On Enterprise, it can be an Org Owner, an Org Admin or anyone holding Slack's Export Admin system role. Log in with one of these roles before you begin.
Free, Pro and Business+: the steps
- Log in as a Workspace Owner or Admin.
- Go to Admin in the left sidebar, then Workspace settings, then Security, then Import & export data, and switch to the Export tab.
- Pick the longest date range available in the dropdown and press Start Export.
- Slack emails you when the ZIP file has been built. Follow the link in that email to the export page and download the file.
Enterprise plans: the steps
- Log in as an Org Owner, Org Admin or Export Admin.
- Open your organization name in the sidebar and go to Tools & settings > Organization settings. In the left menu choose Security, then Exports, and press Export beside the export type you want.
- Set the scope and the full date range, then start the export.
- Slack emails you when the ZIP file is ready. Open the link in the email, switch to the Downloads tab and download the file.
How to get private channels and DMs included
A standard export leaves out private channels and DMs. On Business+, a Workspace Owner submits an application for the self-serve export of all channels and conversations; before reviewing it, Slack Support writes to the Workspace Primary Owner. On Enterprise, an Org Owner asks Slack Support to switch on the self-serve export tools.
After approval, a Business+ owner can also set the export to repeat every week or month.
What each plan can export
The table sums up Slack's export options by plan. All of them are delivered as a ZIP file, and the formats are JSON, plus plain text (TXT) on Enterprise.
| Plan | Public channels | Private channels and DMs | Also good to know |
|---|---|---|---|
| Free | Yes, in JSON | Not available | File links reach back only 90 days, and anything older than a year is already deleted. |
| Pro | Yes, in JSON | Not available | If the workspace started on Free, data deleted before the upgrade stays missing. |
| Business+ | Yes, in JSON | After Slack approves an owner's application | Messages and file links, with weekly or monthly scheduled exports once approved. |
| Enterprise | Yes | Yes, once an Org Owner has requested access | Custom exports narrowed by conversation type, person or workspace, in JSON or TXT. |
What Slack requires before private messages are exported
Slack will approve a private-message export only when the company can show valid legal process, consent from the members, or a legal requirement or right to export. Business+ and Enterprise customers must also have suitable employment agreements and company policies in place.
This is a question for the company's lawyer, not a form to click through, and is it legal to sell company data covers it, along with Slack's own terms. Starting with public channels alone is a perfectly sound choice.
What a Slack export leaves out
A standard export contains links to files, not the files themselves. If your workspace has Slack Connect channels (channels shared with another company), the export includes only the file links shared by members of your own workspace.
Enterprise customers have one more route: the Primary Org Owner or an Org Owner can ask Slack for the Discovery API, which runs through approved third-party eDiscovery and DLP apps. eDiscovery software searches and collects records for legal cases, and DLP (data loss prevention) software watches for sensitive data leaving a company. It covers messages, files, canvases, lists, reactions, edits and deletions, and it hands back files as direct download links.
How long an export takes
Slack gives no estimate of how long an export takes. You find out when its email arrives, so start early and watch your inbox.

What stays private when Slack data is licensed?
The short answer
The company decides which conversations are in scope, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its Slack history, and the license covers defined records for a defined use.
You choose what is in scope
Whether private channels and DMs are included at all is the company's decision. A company can license only its public channels and keep sensitive conversations out of the export. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name or an email address, with a stand-in that is the same every time it appears. The thread still reads in order, so a lab can learn from it, but it no longer says who the people are. The diagram below shows one thread before and after.
The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
Does the Slack Pro plan let us export private channels and DMs?
No. On Free and Pro, an export stops at public channels, and Slack's own table marks private channels and DMs as not available. To export them you need Business+ with an approved application, or an Enterprise plan.
Are the shared files inside a Slack export?
No. A standard export carries links to the files people shared, not the files. Enterprise customers who use the Discovery API receive files as direct download links.
How much history can a Free Slack workspace export?
About one year. Slack deletes anything older than a year from Free workspaces, so there is nothing older to export, and the file links in a Free export reach back only 90 days.
How long should we wait for a Slack export?
Slack does not say. The export is ready when its email arrives, so start early.
Do we need to export Slack before we apply?
No. The application takes about two minutes and shares no data. You only need your approximate message count, your years of history and your member count for the intro call, and you can read the first two from Slack's analytics. The full export is needed later, when the records are transferred after you sign the license.
Can we license only our public channels?
Yes. The company decides which conversations are in scope, and public channels alone are a sound starting point. Private channels and DMs are optional, and exporting them needs Slack's approval and a legal basis.
What is Slack data worth to AI labs and data vendors?
Slack history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in Slack, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
