Key takeaways
- Nextiva recordings are in the Recorder portal, which Nextiva support must set up by case for the whole account, specific users or only you; call volume is in Analytics under Report > Call log.
- Nextiva stores recordings for six months by default and up to three years if extended storage was bought, so confirm which applies before you report hours.
- In the portal, use Export selected or Export query results in small date ranges, because large requests time out; Nextiva can also set up recurring SFTP transfers for the whole archive.
- You don't need to export anything to apply: have your recorded hours, years of use and licensed user count ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is Nextiva data, and why do AI labs and data vendors buy it?
The short answer
Nextiva data is the history of a company's business phone calls, made up of recordings of the calls and a log that says who called whom and for how long. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because Nextiva serves many small and midsize businesses, whose calls are bookings, service requests and customer questions, the everyday conversations that make up most real work.
What a Nextiva account records
Nextiva is a business phone service that runs over the internet. Calls placed and received through it are logged in its analytics tool, and a company can switch on call recording for its users. Each recording is stored in a part of Nextiva called the Recorder portal, and each entry in the call log shows the call's length and the two parties on it.
The recording captures the conversation itself, and the log adds the facts around it, such as which employee took the call and how long it lasted.
Why a recorded business call teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A recorded call from a salon or a repair shop shows how a customer states a need and how a staff member responds: the questions asked, the price quoted, the time booked. Written records rarely show that exchange.
AI labs now want to train AI agents, software that carries out a job step by step, and a phone call is a job an agent could learn to handle. A data vendor can turn anonymized call transcripts into worked examples that an agent studies like an answer key. The full mechanism is in AI training data: why AI companies want your company's data.
How Nextiva fits into a dataset
Nextiva is one of several sources in a company's dataset, which usually also includes email, a CRM and documents. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each source on its own, and what your data is worth explains what moves it.
02
Where does Nextiva show how much call data you have?
The short answer
Recordings are listed in the Recorder portal, which Nextiva support must set up for you, and call volume is in the Call log inside Nextiva Analytics. In the portal, widen the time frame from the current day to the whole period and read the recordings it finds. Nextiva keeps recordings for six months unless the account bought extra storage, so check that before you report a total.
How to get access to the Recorder portal
The Recorder portal is a separate website where Nextiva stores call recordings, and an admin cannot simply open it from the usual menus. Nextiva support configures access when a customer asks for it.
- Submit a support case with Nextiva and say whether you need access for the whole account, for specific users or only for your own calls.
- Support replies with the portal address, a user name and a password. Change the password the first time you log in.
How to read your recorded hours
Two places give you a total, and either works. The steps below start with the portal.
- Log in to the Recorder portal. It opens on the current day, so use the Time Frame menu to choose the full period, either a relative range or a Custom one.
- Review the recordings it finds. To narrow them, add filters with the yellow + button, such as Min Duration (sec) and Max Duration (sec), Local Party, Remote Party or Any Party, then press Search using added filters.
- For call volume and call lengths from the phone system itself, sign in to Nextiva Analytics and open the Report tile.
- Press Expand on the Total Count or Count by Day chart, which opens in a new tab, choose Call log at the bottom, and press Export to download a CSV file.
- Add up the call durations in the file, or the length of the recordings, and convert to hours.
Nextiva describes both tools in its articles on using the Recorder portal and Analytics call logs. A larger call log takes longer to compile before the export downloads.
Which plans record calls
Recording depends on the plan, as Nextiva's guide to setting up call recording lists.
| Plan | Call recording |
|---|---|
| Enterprise, Ultimate, Engage and Power Suite | Included. |
| Core | Only with the call recording add-on. |
A user whose Call Recording setting is greyed out with a key icon most likely has a license that lacks the service.
Why the total can fall short of the all-time number
Nextiva stores recordings for six months by default, and extra storage can be bought for the entire account up to a maximum of three years. A company on the default has about half a year of audio, however long it has used Nextiva. The call history in Nextiva's admin portal reaches back up to one year.
03
What should you know about your Nextiva data before you apply?
The short answer
Have three facts ready: how many hours of recorded calls Nextiva holds, how many years you have used it and how many licensed users you have. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them, and applying through micro1, the data vendor we typically refer companies to, shares no data.
The hours of recorded audio
Nextiva is measured in hours. Take the length of the recordings in the Recorder portal, or the call durations in the Analytics call log, and add them up. Before you report, find out whether the account is on the six-month default or has the extended storage, because the answer changes the number a great deal.
The years of history
For years of use, give the date your Nextiva service started. The audio you can actually offer covers six months to three years, depending on the storage the account bought.
The number of users
The count is the number of licensed Nextiva users.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your full Nextiva history?
The short answer
In the Recorder portal, tick the recordings you want and use the bulk export button to choose Export selected, or choose Export query results to export everything that matches your search. Export in smaller date ranges, because Nextiva warns that asking for too many files at once makes the request time out. Then export the call log for the same dates from Nextiva Analytics.
Who can export
Only people given Recorder portal access can download recordings, and Nextiva support sets that access. It can cover the whole account, specific users or only your own calls, and deleting recordings needs a separate permission.
Exporting recordings from the Recorder portal
- Log in to the Recorder portal and set the Time Frame to the dates you want, working in short periods such as a month at a time.
- Tick the box beside each recording to export, or leave every box clear if you want everything your filters found.
- Press the bulk export button at the top of the list. Choose Export selected for the ticked recordings, which is greyed out when nothing is ticked, or Export query results for all the recordings your search returned.
- Repeat for the next period until the whole history is covered.
A single recording can be downloaded with the download arrow beside it. Nextiva's article does not state the audio file format.
Exporting the call log from Analytics
- Sign in to Nextiva Analytics and open the Report tile.
- Press Expand on the Total Count or Count by Day chart, set the same dates, and choose Call log at the bottom of the screen.
- Press Export at the top right of the table. Nextiva saves a CSV file that opens in Excel.
A recurring transfer for the whole archive
For a full download of all your recordings, Nextiva can set up recurring transfers to your own server through SFTP, which is a standard, encrypted way to copy files between servers. Ask for it in the same support case as portal access.
How long Nextiva keeps things
Recordings are kept six months by default, and storage can be extended for the entire account to a maximum of three years. A recording stays after its user is deleted or deactivated, until it reaches the retention date. Deleting a recording in the portal cannot be undone, so take care when cleaning up.

05
What stays private when Nextiva data is licensed?
The short answer
The company decides whether portal access and any export cover the whole account or only certain users, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its call history, and the license covers defined records for a defined use.
You choose what is in scope
Nextiva support grants Recorder portal access for the whole account, for named users or only for your own calls, so the scope of an export follows the access you request. A company that wants to keep a department's calls out of the dataset can leave those users out. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names and numbers are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name, a phone number or an email address, with a stand-in that is the same every time it appears. A recording or transcript still plays in order, so a lab can learn how the call went, but it no longer says who spoke. The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. Whether callers were told their calls were recorded is a question for the company's lawyer, and is it legal to sell company data covers it. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
How long does Nextiva keep call recordings?
Six months, unless the account bought more. Extra storage can be added for the whole account, up to a maximum of three years.
How do I get access to company recordings in Nextiva?
Submit a case with Nextiva support and say whether you need the whole account, specific users or only your own calls. Support sends the Recorder portal address, a user name and a password.
Can I download many Nextiva recordings at once?
Yes. The Recorder portal can export the recordings you tick or every recording a search returns, but a very large request times out, so work in smaller date ranges. For the whole archive, Nextiva can set up recurring SFTP transfers to your server.
Which Nextiva plans include call recording?
Enterprise, Ultimate, Engage and Power Suite include it, and Core includes it only with the call recording add-on. If a user's Call Recording setting is greyed out, the license probably lacks the service.
Where is Nextiva's call log, and what format is it?
It is in Nextiva Analytics. Open the Report tile, expand the Total Count or Count by Day chart, choose Call log, and press Export to get a CSV file that opens in Excel.
Do we need to export Nextiva before we apply?
No. The application takes about two minutes and shares no data. You only need your approximate hours of recorded calls, your years of use and your licensed user count for the intro call. The recordings are transferred later, after you sign the license.
What is Nextiva data worth to AI labs and data vendors?
Nextiva history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in Nextiva, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
