Key takeaways
- Gong shows total call duration in minutes in the activity report exported from Insights > Team; divide by 60 to get hours of recorded calls.
- Gong keeps a call for three years or your time as a customer, whichever is shorter, so the hours you can report reach back three years at most.
- Download call data from Conversations > Search gives one row per call by email, while transcripts come through the Gong API, limited to 3 calls per second and 10,000 per day.
- You don't need to export anything to apply: have your hours, years of use and seat count ready, and the data vendor anonymizes the records before any AI lab sees them.
01
What is Gong data, and why do AI labs and data vendors buy it?
The short answer
Gong data is the library of recorded sales and customer calls, with transcripts and call details, that a company captures in Gong. AI labs (companies that build and train AI models) and data vendors (companies that anonymize business records and package them for those labs) buy a copy because each call is already tied to a customer account, a deal and a stage in the sales process, so a conversation can be matched to how it turned out.
What a Gong account records
Gong is software that records and analyzes a company's conversations with customers and prospects, most of them sales calls and customer success calls. It joins each call to the company's CRM, the system where a business keeps its customers, deals and sales stages. For every call, Gong keeps the recording, a written transcript, the participants, the length and the topics discussed.
Gong also stores analysis of its own, such as how long each person spoke and which words or subjects came up. The details are described in Gong's help center, and what it lets you export is covered later on this page.
Why a recorded sales call teaches an AI model something
An AI model learns by studying a very large number of examples and finding the patterns in them, and those examples are called training data. A published article shows a finished result, but a sales call shows the work: how a rep opens, how a customer's objection is answered, and what is promised at the end. Because the CRM record says whether the deal closed, the call carries its own outcome.
AI labs now want to train AI agents, software that carries out a job step by step, and an agent learns a job from records of that job being done. A data vendor can turn anonymized transcripts into worked examples that an agent studies like an answer key, with the closed or lost deal as the result to learn from. The full mechanism is in AI training data: why AI companies want your company's data.
How Gong fits into a dataset
Gong is one of several sources in a company's dataset, which usually also includes email, documents and a CRM. Companies are paid $100K to $2M or more per dataset, according to micro1, the data vendor we typically refer companies to. The price covers the whole dataset, not each source on its own, and what your data is worth explains what moves it.
02
Where does Gong show how much call data you have?
The short answer
Gong shows the number of calls and the minutes of call time in its activity report, which you export from Insights > Team and receive by email. Anyone with the Export reports to CSV permission can request it. Add up the minutes, divide by 60, and you have hours of recorded calls.
How to read your call hours
The steps below produce a report with one row per team member, then turn its minutes into hours. Each step names the menu you need.
- Log in to Gong as a user who has the Export reports to CSV permission.
- Open Insights > Team, select the activity report, and set the filters and the date range so they cover the whole company.
- Click Export, leave the DATE RANGE option selected, and choose SEND REPORT TO EMAIL. Gong emails you when the report is ready.
- In the report, add up the Total Call Duration (min) column across all team members and divide the sum by 60. The Total Call Volume column gives the number of calls.
Gong's guide to exporting team stats lists the other columns, which include average call duration and calls attended.
Who can run it, and on which plans
The export works on any Gong plan. What decides access is the Export reports to CSV permission, which an admin grants, together with the seat a person has been assigned.
Why the report can fall short of the all-time total
The activity report counts only enabled team members, so calls recorded by people whose accounts were later disabled do not appear in it. Gong also builds the report in UTC time, not in your company's time zone, so a day's figures can shift slightly against what the Team page shows.
History is limited as well, because Gong deletes calls once they pass its retention period. The export section below explains that limit, and the call data export described there gives a fuller count. The diagram sets the two reports side by side.
03
What should you know about your Gong data before you apply?
The short answer
Have three facts ready: how many hours of calls Gong has recorded, how many years you have used it and how many seats are assigned. They go into the data manifest, the written summary of which apps hold your records, how many years each covers and roughly how much. You don't need to run an export to find them, and applying through micro1, the data vendor we typically refer companies to, shares no data.
The hours of recorded calls
Gong is measured in hours. Take the total minutes from the activity report and divide by 60. Because the report leaves out disabled users, the call data export, which lists every call that matches your search, can give a fuller figure when you need a more careful one.
The years of history
Report the date you became a Gong customer as your years of use. The calls you can actually offer cover less, because Gong's standard policy keeps a call for three years or for as long as you have been a customer, whichever is shorter, as its data retention policy states, unless an admin chose a shorter period. The hours therefore reflect at most the last three years.
The number of seats
Seats are the Gong seats currently assigned to people at your company.
What you don't need to do first
You don't need to export anything to apply, and you don't need to clean or scrub an export. The data vendor anonymizes the records before anyone else sees them, and nothing moves until a lawyer-reviewed license is signed. The application, the intro call and each later step are laid out in how to sell your company's data.
04
How do you export your full Gong history?
The short answer
A user with the Export reports to CSV permission downloads call data from Conversations > Search, and the file arrives by email with one row per call. For transcripts, a tech admin creates an API key under Admin center > Settings > Ecosystem > API, and a developer pulls them through the Gong API. Gong's CSV files hold call details and analytics, not audio.
Option one: the call data CSV
This route gives the most complete call-by-call list without any programming.
- Log in as a user with the Export reports to CSV permission.
- In the left sidebar, open Conversations and choose Search.
- Apply filters to describe the calls you want, which can be all of them.
- Click the More actions icon at the top right of the search results, then choose Download call data.
- Pick the categories to include, such as CRM data, trackers, topics, the manager hierarchy and participant data.
- Click Send report via email. Gong does not offer the file for direct download in the app, and it emails the report to your account address when it is ready.
The file has one row per call. Depending on the categories you chose, a row can hold the call's title, date, length, word count, language and link, along with the host, the participants, talk-time figures and the CRM account details, as Gong's download call data guide describes. Gong states no cap on the number of calls, and says a larger report takes longer to generate.
Option two: the Gong API, for transcripts
The Gong API is a way for a developer's program to request records from Gong directly. It returns analyzed call data, including participants, topics, trackers, scorecards and call transcripts.
- Log in as a tech admin, which is Gong's name for its technical administrator role.
- In the left sidebar, open Admin center, go to the Settings tab and select API under Ecosystem.
- Click + Get API key, name the key, optionally set an expiry in days and a list of trusted IP addresses, then click Get API key.
- Copy the access key and the secret before closing the dialog. Gong cannot show the secret again, as its API key guide notes.
- A developer then calls the API with that key to list calls and fetch their transcripts.
Gong limits the API to 3 calls per second and 10,000 per day, and anything over returns an HTTP 429 error with a wait time, according to its API overview. A multi-year transcript pull therefore has to be paced over several days.
Option three: Gong Data Cloud
Companies that have Gong Data Cloud can have a tech admin send their Gong data once a day to a data warehouse, which is a database built for large-scale analysis. Gong lists Snowflake, BigQuery, Databricks, Amazon S3 and Redshift as destinations, in its Data Cloud guide.
How long Gong keeps calls
Gong keeps a call for three years or for as long as you have been a customer, whichever is shorter, and it irreversibly deletes your data 30 days after you stop being a customer. A tech admin can set a shorter period under Admin center > Settings > Data protection & privacy, and Gong cannot restore calls that were purged.
Library calls follow different rules. Calls in company library folders, public or private, stay until someone removes them, unless an admin switches on Apply retention policy to calls stored in library. Calls in personal library folders and in streams are deleted when they reach the company limit.
What a Gong export leaves out
The CSV exports hold call metadata and analytics, not audio. Gong's help pages describe CSV exports and API access to call data and transcripts, but they do not say how to retrieve audio files in bulk, so ask Gong support how to do that for your account.

05
What stays private when Gong data is licensed?
The short answer
The company decides which calls are in scope, and the data vendor replaces names and other personal details with consistent stand-ins before an AI lab sees anything. The company keeps ownership of its call history, and the license covers defined records for a defined use.
You choose what is in scope
Private calls and internal-only meetings can be left out of the export by filtering them away first. The call data export is built from the filters you apply in Search, so excluding a team, a date range or a call type is a matter of setting the filter. The data vendor also deletes records too sensitive to clean safely instead of anonymizing them.
Names are replaced before a lab sees them
Anonymization means replacing every detail that identifies a person, such as a name, a phone number or an email address, with a stand-in that is the same every time it appears. A transcript still reads in order, so a lab can learn from the way the call unfolds, but it no longer says who spoke. The method, including what is deleted outright and how you review samples, is in how company data is anonymized for AI training.
Ownership and payment
Licensing gives the buyer limited rights to a copy, while the company keeps ownership of the originals. The terms that matter, such as exclusivity, permitted use and deletion, are covered in data licensing. Whether recording customers was lawful and disclosed in the first place is a question for the company's lawyer, and is it legal to sell company data covers it. micro1 pays in full within 30 days of accepting the data, usually as a single payment.
Questions
Frequently asked questions
How long does Gong keep recorded calls?
By default, for three years or your time as a customer, whichever is shorter. A tech admin can set a shorter period under Admin center > Settings > Data protection & privacy, and Gong cannot restore calls once they have been purged.
Can I export Gong transcripts?
Yes, through the Gong API. A tech admin creates an API key under Admin center > Settings > Ecosystem > API, and a developer uses it to pull call transcripts.
Can I download Gong call audio in bulk?
Gong's help pages cover two ways to get records out, CSV files of call data and the API for call data and transcripts, and neither is described as a bulk audio download. Ask Gong support how to retrieve audio files for your account.
Who can export from Gong?
Anyone who holds the Export reports to CSV permission, on any Gong plan. Access also depends on the seat the person is assigned, and a tech admin is needed to create API keys.
Do we need to export Gong before we apply?
No. The application takes about two minutes and shares no data. You only need your approximate hours of recorded calls, your years of use and your seat count for the intro call, and the activity report gives you the hours. The call data is transferred later, after you sign the license.
Why is the Gong activity report lower than I expected?
The report leaves out disabled users and counts only calls inside Gong's retention period, so it can understate the total. The call data download, which lists each call on its own row, gives a fuller count.
What is Gong data worth to AI labs and data vendors?
Gong history is priced as part of a whole dataset rather than on its own. Companies are paid $100K to $2M or more per dataset, according to micro1, and the price depends on the years of history and how completely the records show each job. What your data is worth explains the factors.
Bottom line
Know what is in Gong, then see what it is worth
You don't need to export anything to apply. Apply in two minutes, describe your records on the intro call, and micro1, the data vendor we typically refer companies to, prices the whole dataset and sends an offer 1–2 days later.
